It tracks cancellation deadlines and checks hotel prices for drops daily. When a cheaper refundable rate appears on a hotel you already booked, StayHawk sends an alert with a link to rebook. What makes StayHawk different: a price drop alert is only useful while the booking can still be cancelled. StayHawk links every price alert to the booking's cancellation deadline, so alerts arrive while you can still act — and deadline countdowns work on every booking, even without price monitoring. StayHawk does not cancel or rebook for you. It provides information so you can decide whether to act. ## Who StayHawk Is For - **Travellers** who book refundable hotels and want two things handled automatically: never miss a cancellation deadline, and never overpay when the rate drops on a stay they already booked. - **Independent travel agencies and advisors** managing bookings across many clients. Agencies get a shared team workspace with role-based access (admins see all bookings, agents see their own clients), client labels, client portal links, a dedicated agency inbox for forwarded confirmations, and deadline + price alerts across the entire client portfolio. There is no other purpose-built post-booking monitoring tool at independent-agency scale — enterprise reshop platforms require corporate booking systems and enterprise contracts. ## How It Works 1. Forward your booking confirmation email (hotel, flight, train, car rental, or activity) to inbox@stayhawk.app from the email you signed up with (agency workspaces have their own forwarding address), or use the Chrome extension to import from Booking.com, Expedia, Agoda, Hotels.com, or Airbnb (Airbnb stays get deadline tracking only, no price monitoring). 2. StayHawk parses the booking details automatically (property/operator name, dates, rate, cancellation deadline). 3. For hotels, StayHawk checks prices daily across multiple rate sources, including Google Hotels data. For flights, trains, and car rentals, it tracks cancellation deadlines. 4. You receive alerts before cancellation deadlines close, when hotel price drops are detected, and (opt-in) 3 days and 1 day before check-in. ## Activity Suggestions For upcoming hotel stays, StayHawk may show things to do at your destination — tours and attractions from its affiliate partner GetYourGuide — on the booking detail page, the dashboard, and in the 3-day check-in reminder and digest emails. These are affiliate links, clearly labelled, and StayHawk may earn a commission if you book through them at no extra cost to you. StayHawk does not operate or fulfil the activities. Pro and Agency users can turn suggestions off in Settings. ## Supported Platforms - Booking.com (email parsing + Chrome extension + price monitoring) - Expedia (email parsing + Chrome extension + price monitoring) - Hotels.com (email parsing + Chrome extension + price monitoring) - Agoda (Chrome extension import) - Marriott (email parsing + price monitoring) - Hilton (email parsing + price monitoring) - Airbnb (email parsing + Chrome extension + deadline tracking only, no price monitoring) - Eurostar, SNCF, Trainline, Deutsche Bahn, Trenitalia (train email parsing + deadline tracking) - FlixBus, BlaBlaCar Bus, National Express, Megabus (coach email parsing + deadline tracking) - DFDS, Brittany Ferries, Direct Ferries (ferry email parsing + deadline tracking) ## Supported Booking Types - Hotels — full pipeline: email parsing, price monitoring, price drop alerts, rebook playbooks - Flights — email parsing, deadline tracking (no price monitoring) - Trains, coaches and ferries — email parsing, deadline tracking, multi-leg support (no price monitoring) - Car rentals — email parsing, deadline tracking (no price monitoring) - Activities — email parsing, deadline tracking (no price monitoring) ## Pricing ### Free Plan — $0/month - 5 hotel bookings (flights, trains, car rentals, and activities require Pro) - Cancellation deadline alerts - Check-in reminders 3 days and 1 day before each stay (opt-in) - Email parsing - Dashboard - Trips timeline — group bookings into trips and see stays, flights, and deadlines on one timeline - Shareable trip links — send a companion a private, revocable read-only itinerary page (no login needed; never shows prices, references, or personal details) - Snaps: take photos on a booking (wifi sign, room, rental damage), filed by day and pinned to the matching fact or amenity. Forward your hotel confirmation email to inbox@stayhawk.app from the email you signed up with, or use the Chrome extension to import from Booking.com, Expedia, Agoda, Hotels.com, or Airbnb. StayHawk parses the details automatically. It does not access your email account. ### Which hotels are supported? For deadline tracking, any hotel with a confirmation email works. For price monitoring, the hotel needs to appear in our rate providers' data (including Google Hotels), which covers most major hotel chains and many independent properties. ### Will StayHawk cancel or rebook for me? No. StayHawk alerts you when a better rate is available and gives you a direct link to rebook. You make the decision. ### Is my booking data safe? Booking data is stored on AWS infrastructure. StayHawk uses it to provide deadline alerts and price monitoring. StayHawk does not sell user data. See the Privacy Policy for details. ### What about Airbnb bookings? Airbnb bookings are tracked for cancellation deadlines, but price monitoring is not available for Airbnb stays. The dashboard shows a badge recommending manual price checks. ### How is StayHawk different from Google's hotel price alerts? Google's hotel price tracking watches a hotel you search for — set up manually, per property, with no knowledge of what you booked. StayHawk starts from your confirmation email, so it knows your booked rate, room, and cancellation deadline. Alerts fire only on lower refundable rates, and only while you can still cancel and rebook. Google's alerts also carry no cancellation-deadline context. ### How is StayHawk different from trip planners like TripIt or Wanderlog? Trip planners organize itineraries; some also watch hotel prices. StayHawk manages the money side of bookings: cancellation deadline countdowns with alerts before each window closes, price drops evaluated against whether you can still act, urgency-sorted portfolio, and an agency tier with a shared client workspace. Trip planners do not track cancellation deadlines or serve travel agencies. ### How accurate is the price monitoring? StayHawk checks rates across multiple sources, including Google Hotels data, which aggregates prices from major OTAs. Alerts are sent only when a potentially lower refundable rate is detected. Coverage and timing depend on third-party data availability. ### What does Pro add over the free plan? The free plan tracks cancellation deadlines for up to 5 bookings, organizes them into trips on a timeline, and shares read-only trip links. Pro adds daily price monitoring with drop alerts and rebook links, smart rebooking playbooks, flights, trains, car rentals and activities with smart email import, trip budgets, expenses and documents, Cost Center, up to 3 linked emails, a second seat to share with a partner, and 30 bookings. ### What counts as a booking toward the plan limit? Only actively tracked bookings count. When a stay ends, or a booking is cancelled or deleted, its slot is freed automatically. ### Does StayHawk use affiliate links? Yes, for activity suggestions only. When StayHawk shows things to do at your destination (via its partner GetYourGuide), those are affiliate links and StayHawk may earn a commission if you book through them, at no extra cost to you. They are clearly labelled wherever they appear. Pro and Agency users can disable activity suggestions in Settings. ### Can I switch plans? Yes. Upgrade, downgrade, or cancel anytime from Settings. ### Do I need a credit card for the free plan? No. Sign up with an email address and start tracking up to 5 bookings. ## Key Pages - Homepage: https://stayhawk.app - Pricing: https://stayhawk.app/pricing - Features: https://stayhawk.app/features - For Agencies: https://stayhawk.app/agencies - Supported Platforms: https://stayhawk.app/platforms - How StayHawk Compares: https://stayhawk.app/compare - Help Center: https://stayhawk.app/help - Blog: https://stayhawk.app/blog - Privacy Policy: https://stayhawk.app/privacy - Terms of Service: https://stayhawk.app/terms ## Full Reference A long-form version of this document — with all customer-facing blog articles and the complete FAQ corpus inlined — is available at https://stayhawk.app/llms-full.txt ## Contact - Email: support@stayhawk.app --- # Frequently Asked Questions ## Homepage ### How does StayHawk get my booking details? Forward your hotel confirmation email to inbox@stayhawk.app from the email you signed up with, or import directly from Booking.com, Expedia, Agoda, Hotels.com, or Airbnb using the StayHawk Chrome extension. StayHawk extracts the details either way. ### Which hotels are supported? StayHawk works with any hotel that appears on Google Hotels for price monitoring. For deadline tracking, any booking with a confirmation email works. ### Will StayHawk cancel or rebook for me? StayHawk alerts you when a better rate is available and gives you a direct link to rebook. You make the decision — StayHawk just makes it easy to act on it. ### Is my booking data safe? StayHawk does not sell your data. Your booking information is shared only with the service providers necessary to operate StayHawk (e.g., cloud infrastructure, authentication). See the Privacy Policy for details. ### How is StayHawk different from Google's hotel price alerts? Google's price alerts track a hotel you search for — you set them up manually, per property, and they don't know what you booked. StayHawk starts from your confirmation email, so it knows your rate, your room, and your cancellation deadline. Alerts only fire on lower refundable rates, and only while you can still cancel and rebook. ### How is StayHawk different from trip planners like TripIt or Wanderlog? Trip planners organize itineraries; some also watch hotel prices. StayHawk manages the money side of your bookings: every cancellation deadline gets a countdown and alerts before the window closes, price drops are checked against whether you can still act, and agencies get a shared portfolio across clients. ### What about Airbnb bookings? Airbnb properties can be tracked for deadline alerts, but price monitoring is not available for Airbnb stays. Your dashboard will show a badge indicating that manual price checks are recommended. ## Pricing ### What does Pro add over the free plan? The free plan tracks cancellation deadlines for up to 5 bookings. Pro adds daily price monitoring with drop alerts and rebook links, smart rebooking playbooks, flights, trains, car rentals and activities with smart email import, Trips, Cost center, up to 3 linked emails, a second seat to share with a partner, and 30 bookings. ### How much can I actually save? Savings vary and are not guaranteed — they depend on your bookings, market conditions, and rate availability. Hotel rates move often after booking: a NerdWallet study found 66% of hotels were cheaper closer to check-in. A single successful rebook can exceed the annual cost of Pro. ### What counts as a booking toward my limit? Only actively tracked bookings count. When a stay ends, or you cancel or delete a booking, its slot is freed automatically for a new one. ### Can I switch plans later? Yes. Upgrade, downgrade, or cancel anytime from your settings. ### What happens when I hit my booking limit? You'll see a prompt to upgrade. Existing bookings continue to be tracked. We retain your data in accordance with our data retention policy. ### Do I need a credit card for the free plan? No. Sign up with just an email. No card required. ### How does price monitoring work? StayHawk aims to check hotel prices regularly using Google Hotels data. When our system detects a potentially lower refundable rate on your property, we send an alert with a rebook link. Frequency and coverage depend on third-party data availability. ### What if I cancel mid-cycle? You keep access until the end of your billing period. No prorated charges. ### Is my booking data safe? Your data is stored on AWS infrastructure with industry-standard protections. We use it to provide our core services — deadline alerts and price monitoring. We do not sell your personal data. For details on data handling, see our Privacy Policy. ## Features ### How do I add bookings to StayHawk? Forward your hotel confirmation to inbox@stayhawk.app from the email you signed up with, or use the Chrome extension to import from Booking.com, Expedia, Agoda, Hotels.com, or Airbnb. We process the booking details and aim to discard raw data within 24 hours. We don't access your email or hotel accounts. ### Which booking platforms are supported? Booking.com, Expedia, Hotels.com, Marriott, Hilton, and Airbnb. We're adding more platforms regularly. Airbnb bookings support deadline tracking but not price monitoring. ### How accurate is the price monitoring? We regularly check rates across multiple sources, including Google Hotels data, which aggregates prices from major OTAs. We aim to alert you only on rates that appear available at the time of checking, based on third-party data. ### What happens if I don't act on a price drop? Nothing. StayHawk alerts you — you decide whether to rebook. We do not make changes to your bookings. ### Can I use StayHawk for work travel? Yes. Agency plans support team workspaces, client labels, and role-based access for travel agencies managing client bookings. ### Is there really a free plan? Yes. 5 bookings with cancellation deadline tracking. No credit card required. ### What's the difference between Free and Pro? Free tracks up to 5 hotel bookings with cancellation deadline alerts. Pro raises the limit to 30 bookings, adds flights / trains / car rentals / activities, price monitoring with adjustable alert sensitivity, rebooking playbooks, a Cost Center for your travel spend, and up to 3 linked forwarding addresses. ### Do flights and trains get price monitoring too? No — price monitoring is hotel-only on all plans. Flights, trains, car rentals, and activities get deadline tracking on Pro, so we alert you before change-fee or free-cancellation windows close. ## Help Center ### What is StayHawk? StayHawk is a post-booking portfolio manager. You forward your hotel confirmation emails, and StayHawk tracks cancellation deadlines and checks for price drops on your stays. If something changes, you get an alert. ### How to set up your account Sign up at stayhawk.app (no credit card required). Forward a hotel confirmation email to inbox@stayhawk.app from the email you signed up with; StayHawk matches the booking to your account by the sender address. Your booking appears on your dashboard within minutes. ### Which booking platforms are supported? Booking.com, Expedia, Hotels.com, Marriott, Hilton, and Airbnb. If your confirmation email has the booking details in it, StayHawk can usually extract them regardless of the platform. ### How does price monitoring work? StayHawk checks hotel prices daily using Google Hotels data. When a lower refundable rate appears on the same property for the same dates, you get an alert with a link to rebook. Price monitoring is available on Pro and Agency plans. ### How do deadline alerts work? StayHawk tracks the cancellation deadline for each booking. You get reminders at 7 days, 3 days, and 24 hours before the deadline. Alerts are sent to the email address you signed up with. ### What's included in each plan? Free: 5 bookings, deadline alerts, email parsing, dashboard. Pro ($9/month or $79/year): 30 bookings, plus price monitoring, price drop alerts, and rebook links. Agency ($49/month or $468/year): 500 bookings, plus 5 team seats, client labels, and role-based access. ### Will StayHawk cancel or rebook for me? No. StayHawk alerts you and gives you a direct link to rebook. You make the decision. StayHawk does not make changes to your bookings. ### Is my booking data safe? Your data is stored on AWS infrastructure. StayHawk uses it to provide deadline alerts and price monitoring. StayHawk does not sell user data. See the Privacy Policy for details. ## Help — Agencies ### What is an agency workspace? An agency workspace is a separate workspace for managing client bookings. When you subscribe to the Agency plan, StayHawk creates an agency workspace alongside your personal one. You switch between them from the workspace picker in the nav. Bookings, team members, limits, and billing live on the agency workspace. ### How many team members can I invite? The Agency plan includes 5 seats in total, including you as admin. The Enterprise plan includes 25. Pending invitations count toward your seat limit — revoke unused ones to free seats. ### What's the difference between admin and agent roles? Admins can manage the team, change settings, and see every booking in the workspace. Agents can create and edit their own bookings and see the bookings assigned to them. Write access is always own-only — agents can't edit another agent's booking. ### Can agents see each other's bookings? It depends on the agent visibility setting. In own-only mode (default), agents see just their own bookings. In team-read mode, agents can read every booking in the agency but still only edit their own. Admins change this setting at any time. ### How do client labels work? You can tag any booking with a client to filter, report, and share via the client portal. Clients are scoped to the workspace, so every agent sees the same client list. ### What is the client portal? The client portal is a read-only share link for your client. They see the bookings you've tagged to them without needing to create an account. You can revoke or regenerate the link any time. The client portal is included on Agency and Enterprise plans. ### Do agency bookings use the same forwarding address as my personal ones? No. Your agency workspace has its own forwarding address, shown in the workspace settings. It is separate from the shared inbox@stayhawk.app address that personal workspaces use. Forward agency booking confirmations to the agency address so they land in the agency workspace. ### What happens when we hit the booking limit? The Agency plan allows 500 bookings; Enterprise allows 2000. When you hit the limit, existing bookings continue to be tracked but new ones can't be added until you upgrade or past bookings expire. ### How do invitations work? An admin enters the team member's email. The invitee receives a link and has 7 days to accept. After 7 days the link expires — revoke and re-invite to issue a new one. ### How do I cancel the agency subscription? Cancel from Settings > Billing on the agency workspace. You keep access until the end of the current billing period. You can't delete the workspace while a subscription is active — cancel first, then delete. ## Help — Chrome Extension ### Which booking sites are supported? Booking.com, Expedia, Agoda, Hotels.com, and Airbnb. It doesn't import from other sites. Airbnb stays get cancellation deadline tracking only, not price monitoring. ### How accurate is the extraction? The extension uses automated pattern matching to extract booking details. It works well for most confirmations, but always review the preview before saving. See Terms Section 6 for details. ### What data does the extension collect? Only the HTML of the active tab when you click Import. No browsing history, no background access. Raw HTML is deleted within 7 days. ### Do I need to be signed in? Yes. Sign in via the extension popup. Tokens are stored in browser session memory and cleared when you close the browser. ### The extension isn't extracting my booking correctly Some page layouts may not extract perfectly. Review and edit fields in the preview, or add the booking manually from your dashboard. ### How do I install the extension? Install from the Chrome Web Store. Click the puzzle icon in Chrome and pin StayHawk for easy access. ### Does the extension work on mobile? No. Chrome extensions are desktop-only. Use email forwarding for mobile bookings. ### Can I choose which workspace to import into? Yes. The extension shows a workspace selector. Pick your workspace before importing. ## Help — iOS App ### Which iPhones are supported? Any iPhone running iOS 17 or later. The app is iPhone-only — there is no iPad or Mac version yet. ### Do I need a StayHawk account first? Yes. Sign up at stayhawk.app, forward a confirmation email to your inbox, then sign in to the iOS app to see your bookings on the go. ### Can I add bookings from the app? Not yet. The app is read-only for now — use email forwarding or the Chrome extension to add bookings, then the app shows them in real time. ### What can I do in the app? Browse your booking portfolio, see upcoming check-ins and cancellation deadlines, view price-drop alerts, and tap through to the booking source URL. Push notifications fire the moment an alert is generated. ### Will I get push notifications for cancellation deadlines and price drops? Yes. Allow notifications on first launch and you will receive a push the moment a deadline approaches or a cheaper rate is found. Tap the notification to jump straight to the booking. ### Does the app work offline? The last loaded view stays visible offline, but live data, alerts, and price checks require a connection. ### Is the app available in French? Yes. The app follows your iOS system language. Set your iPhone to French and the entire app — including alerts and notifications — switches over. ### How do I sign out? Open Settings inside the app and tap Sign out. To delete your account entirely, contact support@stayhawk.app. ### Where is the agency workspace switcher? The iOS app is currently consumer-only — it shows your personal workspace. Agency workspaces are coming to a later release. ## Marriott Best Rate Guarantee ### What is Marriott's Best Rate Guarantee? Marriott's Best Rate Guarantee (BRG) promises that if you book directly on Marriott.com and then find a lower rate for the same hotel, room type, and dates on another website, Marriott will match the lower rate and give you an additional 25% discount on the matched price. ### How long do I have to file a BRG claim? You must submit your BRG claim within 24 hours of making your direct booking on Marriott.com. The claim window is strict — if you miss it, the guarantee no longer applies. ### Do I need to book direct to use the BRG? Yes. The Best Rate Guarantee only applies to bookings made directly on Marriott.com or through the Marriott Bonvoy app. Bookings through OTAs like Expedia or Booking.com are not eligible for BRG claims. ### What if I booked through Expedia or Booking.com? If you booked through an OTA, you can't file a BRG claim on that booking. However, StayHawk's playbook will recommend cancelling the OTA booking (if free cancellation is available) and rebooking directly on Marriott.com at the lower rate — then filing a BRG claim for an extra 25% off. ### How does StayHawk monitor my Marriott booking? Forward your Marriott confirmation email to StayHawk. We automatically detect the hotel chain, check rates daily across multiple platforms, and alert you the moment we find a lower price — along with a step-by-step playbook for how to save. ### Does StayHawk file the BRG claim for me? No. StayHawk detects the price drop, builds your playbook, and links you directly to Marriott's BRG claim page. You submit the claim yourself — it takes about 60 seconds. ### Which Marriott brands are covered? All 30+ Marriott Bonvoy brands, including Courtyard, Westin, Sheraton, Ritz-Carlton, St. Regis, W Hotels, Fairfield, Residence Inn, and more. StayHawk detects the brand from your confirmation email automatically. ### Is StayHawk free? StayHawk's free plan includes deadline tracking for up to 5 hotel bookings. Price monitoring, Smart Playbooks, and BRG-aware alerts require the Pro plan. ## Hotel Price Drop Alert ### What is a hotel price drop alert? A hotel price drop alert is a notification that fires when the rate on a property you have already booked moves lower after you booked it. StayHawk monitors the same hotel, room type, and dates daily, and aims to send an alert by email and push when a potentially cheaper refundable rate is detected. The goal is to surface a rebooking opportunity before your free-cancellation window closes. ### How often does StayHawk check for a hotel price drop? StayHawk Pro runs a price check on every eligible hotel booking once per day. Daily is the sweet spot between catching meaningful drops and respecting our SerpApi, DataForSEO, and direct-chain rate limits. We do not currently offer hourly or intraday hotel price drop alert checks. ### Which booking platforms does the hotel price tracker monitor? StayHawk monitors 10+ booking platforms, including Booking.com, Expedia, Hotels.com, Agoda, Trip.com, Marriott, Hilton, Hyatt, IHG, and Accor. Airbnb and Vrbo are deadlines-only because vacation-rental listings do not have a comparable public rate feed. We auto-detect the platform from your forwarded confirmation email. ### Do I get alerts on non-refundable bookings? No. StayHawk only fires hotel price drop alerts on refundable rates. If your booking is non-refundable, rebooking at a lower rate would forfeit your original payment, so an alert wouldn't help. We extract the cancellation policy from your confirmation email and skip price monitoring on non-refundable reservations. ### Is the hotel price drop alert free, or do I need Pro? Hotel price drop alerts require the Pro plan. The Free plan covers cancellation deadline tracking on up to 5 bookings, which is useful on its own, but daily price monitoring across SerpApi, DataForSEO, and direct-chain data is a Pro feature. You can upgrade at any time and downgrade whenever you want. ### What happens when my hotel rate dropped after I booked? When StayHawk detects that your hotel rate dropped after you booked, we send an alert with a rebooking playbook. The playbook ranks your options: file a Best Rate Guarantee claim if the chain supports it (Marriott, Hilton, Hyatt, IHG), cancel and rebook within your free-cancellation window, or wait if the timing doesn't work. The savings math is already done in your home currency. ### How accurate are StayHawk's hotel price drop alerts? StayHawk aims to detect cheaper refundable rates available at time of check, but does not guarantee any specific outcome. Price monitoring depends on SerpApi, DataForSEO, and direct-chain data feeds; rates can change between detection and the moment you click rebook. Savings estimates are illustrative and depend on hotel pricing, availability, and your actions. ### How do I start getting a hotel price drop alert on my bookings? Sign up, forward a hotel confirmation email to inbox@stayhawk.app from the email you signed up with, and upgrade to Pro to turn on price monitoring. We extract the booking details automatically, and the first daily price check typically runs within hours (timing depends on when your booking is processed). You don't need to install anything, connect any hotel accounts, or configure alerts manually. ## Flight Cancellation Deadline Tracker ### What is a flight cancellation deadline tracker? A flight cancellation deadline tracker is a tool that watches the fixed dates on your airline ticket — the 24-hour DOT free-cancellation window, the fare-class refund cutoff, change-fee escalation dates, and e-voucher expiry — and alerts you before each one closes. StayHawk Pro extracts those dates from your forwarded confirmation email and queues three alert tiers per deadline. Flight prices are not monitored; only deadlines are tracked. ### How does the flight cancellation deadline tracker work? Forward your airline confirmation to inbox@stayhawk.app from the email you signed up with. We parse the email, extract the refund and change-fee dates from the fare rules, and create deadline records in your portfolio. We then queue three alerts per deadline: 7 days out, 3 days out, and 24 hours before the window closes. Extraction depends on email format — if our parser misses something, we flag it and let you edit the deadline manually. ### Which airlines does the flight deadline tracker cover? StayHawk parses confirmations from 20+ airlines across three regions. North America: American Airlines, Delta, United, Southwest, JetBlue, Alaska Airlines, Air Canada, WestJet. Europe: Lufthansa, Air France, KLM, British Airways, Ryanair, EasyJet, Vueling, Iberia. Middle East and Asia: Emirates, Qatar Airways, Singapore Airlines, ANA, JAL, Cathay Pacific, Qantas. If your carrier isn't in the list, you can still add the deadline manually. ### Does StayHawk monitor flight prices the way it monitors hotels? No. Flight prices are not monitored — the flight cancellation deadline tracker only tracks deadlines. Airfare inventory shifts faster than the daily-check cadence we use for hotels, and most economy fares are non-refundable anyway, so a price-drop alert wouldn't help. If you want price monitoring with a rebooking playbook, that's the hotel feature. ### Is the flight deadline tracker free or does it need Pro? Pro. Flights aren't on the Free plan — the Free plan covers cancellation deadline tracking on hotels only. Multi-type bookings (flights, trains, car rentals, activities) are a Pro feature. You can upgrade at any time and downgrade whenever you want. ### What is the 24-hour DOT rule for US flights? The US Department of Transportation requires airlines selling tickets for flights to or from US airports to either allow a free 24-hour hold on a quoted fare or allow a free cancellation for a full refund within 24 hours of booking, provided the ticket was bought at least seven days before departure. Where extracted successfully, StayHawk surfaces this 24-hour window from US domestic confirmations and queues an alert before it closes. Refund eligibility still depends on the airline's policy at the time of cancellation. ### What happens when a flight cancellation deadline tracker alert fires? You get an email and a push notification with the deadline, the booking details, and a direct link to your StayHawk portfolio entry. From there you can open the airline's manage-booking page, see your current fare class and refund eligibility, and decide whether to cancel, change, or do nothing. Alert delivery is approximate and depends on email and push processing. ### How accurate is the flight confirmation extraction? Extraction depends on email format — we'll surface what we find and flag what's unclear. The major carriers' confirmation templates are stable, so refund deadlines and change-fee dates parse reliably. Promotional fares, codeshare itineraries, and schedule changes occasionally rewrite the fare rules in ways our parser can miss. You can edit any deadline manually if our parser missed something. ## Train Cancellation Deadline Tracker ### What is a train ticket cancellation deadline tracker? A train ticket cancellation deadline tracker is a tool that watches the fare-class rules on your train booking — the refund deadline, the exchange or échange window, and any e-voucher expiry — and alerts you before each one closes. StayHawk Pro extracts those dates from your forwarded operator confirmation and queues three alert tiers per deadline: 7 days out, 3 days out, and 24 hours before. Train prices are not monitored; only refund and exchange deadlines are tracked. ### How does the train ticket cancellation deadline tracker extract dates from confirmation emails? Forward your operator confirmation (SNCF, Eurostar, Trenitalia, Deutsche Bahn) or aggregator receipt to inbox@stayhawk.app from the email you signed up with. We parse the email, extract the refund deadline and exchange window from the fare rules, and create deadline records in your portfolio. We then queue three alerts per deadline: 7 days out, 3 days out, and 24 hours before the window closes. Extraction depends on email format — if our parser misses a fare-class nuance, we flag it and let you edit the deadline manually. ### Which train operators does the train ticket cancellation deadline tracker cover? StayHawk parses confirmations from 15+ rail operators across three regions. Europe — France, Iberia, Italy: SNCF (TGV, OUIGO, Intercités, TER), Eurostar, Thalys, Trenitalia (Frecciarossa), Italo via aggregators, Renfe (AVE). Europe — Central and Northern: Deutsche Bahn (ICE, IC), ÖBB (Railjet), SBB (CFF), NS (Dutch Railways), SJ (Sweden), VR (Finland). North America and Asia Pacific: Amtrak, VIA Rail Canada, JR (Shinkansen and JR Pass routes), MTR (Hong Kong Through Train), Korail (KTX). If your operator isn't listed, you can still add the deadline manually. ### Does StayHawk monitor train ticket prices the way it monitors hotels? No. Train prices are not monitored — the train ticket cancellation deadline tracker only tracks refund and exchange deadlines. Rail fares have different inventory dynamics than hotels, and many low-cost fares (SNCF prems, Trenitalia Super Economy) are non-refundable, so a price-drop alert wouldn't help you. If you want price monitoring with a rebooking playbook, that's the hotel feature. ### Is the train ticket cancellation deadline tracker free or does it need Pro? Pro. Trains aren't on the Free plan — the Free plan covers cancellation deadline tracking on hotels only. Multi-type bookings (trains, flights, car rentals, activities) are a Pro feature. You can upgrade at any time and downgrade whenever you want. ### How does the tracker handle different fare classes, e.g. Eurostar Standard vs Standard Premier or SNCF flex vs prems? We extract the rules that apply to your specific fare class from the confirmation email. A SNCF tarif flex on a TGV is refundable until close to departure; a tarif prems is non-refundable but may still have an exchange window against a fee. Eurostar Standard, Standard Premier, and Business Premier each have distinct refund and exchange deadlines. Trenitalia Base, Economy, and Super Economy diverge the same way. Refund and exchange terms vary by operator and fare class — we surface what we extract and flag anything unclear, and you can edit any deadline manually. ### What happens when a train ticket cancellation deadline tracker alert fires? You get an email and a push notification with the deadline, the booking details, and a direct link to your StayHawk portfolio entry. From there you can open the operator's manage-booking page (SNCF Connect, Eurostar account, Trenitalia, DB Navigator), see your fare class and refund eligibility, and decide whether to refund, exchange, or do nothing. Alert delivery is approximate and depends on email and push processing. ### What if the train operator's refund policy changes after I booked? We extract the deadlines that were in effect on the confirmation we received. If an operator changes its policy after you booked (a strike refund window, a goodwill exchange offer after a timetable change), the original fare-rule dates still anchor your deadline record. Some operators have stricter refund rules than others — read your ticket terms before relying on a deadline, and use the manual override to edit the date if the operator publishes an updated rule for your ticket. ## Car Rental Cancellation Deadline Tracker ### What is a car rental cancellation deadline tracker? A car rental cancellation deadline tracker is a tool that watches the free-cancellation window on your rental contract — usually 24 to 48 hours before pickup, sometimes longer on prepaid corporate rates — and alerts you before it closes. StayHawk Pro extracts the deadline from your forwarded supplier confirmation and queues three alert tiers per deadline: 7 days out, 3 days out, and 24 hours before the window closes. Car rental prices are not monitored; only free-cancellation windows are tracked. ### How does StayHawk track car rental cancellation deadlines? Forward your supplier confirmation — Hertz, Avis, Enterprise, Sixt, Europcar — or your aggregator receipt (Kayak, Expedia, Rentalcars.com) to inbox@stayhawk.app from the email you signed up with. We parse the email, extract the free-cancellation cutoff from the rate terms, and create a deadline record in your portfolio. We then queue three alerts per deadline: 7 days out, 3 days out, and 24 hours before the window closes. Extraction depends on email format — if our parser misses a clause, we flag it and let you edit the deadline manually. ### Which car rental companies does the car rental cancellation deadline tracker cover? StayHawk parses confirmations from 20 suppliers and aggregators across three groups. Major suppliers: Hertz, Avis, Enterprise, Budget, National, Alamo, Thrifty, Dollar. Premium and European: Sixt, Europcar, Turo, Goldcar, Centauro, Surprice. Aggregators: Kayak car rentals, Expedia car rentals, Booking.com car rentals, Rentalcars.com, Discover Cars, AutoEurope. If your supplier isn't in the list, you can still add the deadline manually. ### What about prepaid vs pay-at-counter car rental rates? We handle them distinctly. A prepaid rate (typically discounted relative to pay-at-counter, though the gap varies by supplier and season) charges your card at booking and gives you a free-cancellation window — miss it and you forfeit the deposit. A pay-at-counter rate doesn't charge upfront, so the consequence of missing the cutoff is just a no-show fee (which varies by supplier — Hertz and Sixt usually charge a flat fee, some smaller European operators don't bill at all if you simply don't show). We extract whichever cutoff applies to your rate code and flag prepaid bookings so the deposit-at-risk is visible at a glance. ### Does StayHawk monitor car rental prices the way it monitors hotels? No. Car rental prices are not monitored — the car rental cancellation deadline tracker only watches free-cancellation windows. Rental fleet pricing moves differently from hotel inventory; supplier rates also shift with pickup-location demand and seasonal vehicle availability in ways our daily-check cadence isn't tuned for. If you want price monitoring with a rebooking playbook, that's the hotel feature. ### Is the car rental cancellation deadline tracker free or does it need Pro? Pro. Car rentals aren't on the Free plan — the Free plan covers cancellation deadline tracking on hotels only. Multi-type bookings (car rentals, flights, trains, activities) are a Pro feature. You can upgrade at any time and downgrade whenever you want. ### What happens when a car rental cancellation deadline tracker alert fires? You get an email and a push notification with the deadline, the booking details, and a direct link to your StayHawk portfolio entry. From there you can open the supplier's manage-booking page (Hertz, Avis, Sixt, Europcar), see whether the rate is prepaid or pay-at-counter, and decide whether to cancel, rebook, or do nothing. Alert delivery is approximate and depends on email and push processing. ### What if I rent from a supplier StayHawk doesn't parse? You can add the booking and its free-cancellation deadline manually from the dashboard, and the same three alert tiers will fire (7 days, 3 days, 24 hours out). Extraction depends on email format — if a smaller European supplier or regional aggregator isn't in our parser list yet, manual entry covers the gap. We add new supplier templates as we see new confirmation formats come through. ## Activity Cancellation Deadline Tracker ### What is an activity cancellation deadline tracker? An activity cancellation deadline tracker is a tool that watches the free-cancellation window on your tour or experience booking — usually 24 hours before the start time on Viator and GetYourGuide, sometimes 48 or 72 hours on operator-specific rates — and alerts you before it closes. StayHawk Pro extracts the deadline from your forwarded activity confirmation and queues three alert tiers per deadline: 7 days out, 3 days out, and 24 hours before the window closes. Activity prices are not monitored; only cancellation deadlines are tracked. ### How does StayHawk track activity cancellation deadlines? Forward your activity confirmation — Viator, GetYourGuide, Klook, Tiqets, Headout — to inbox@stayhawk.app from the email you signed up with. We parse the email, extract the free-cancellation cutoff from the ticket terms, and create a deadline record in your portfolio. We then queue three alerts per deadline: 7 days out, 3 days out, and 24 hours before the window closes. Extraction depends on email format — if our parser misses a clause, we flag it and let you edit the deadline manually. ### Which activity platforms does the activity cancellation deadline tracker cover? StayHawk parses confirmations from 16+ platforms and operators across three groups. Global aggregators: Viator, GetYourGuide, Klook, Tiqets, Headout, Civitatis. Major OTAs (experiences): Airbnb Experiences, Booking.com Experiences, Expedia Things to Do, TripAdvisor Experiences. Regional and specialist: Musement, Hellotickets, isango!, Big Bus Tours, Disneyland direct, Universal Studios direct. If your platform isn't in the list, you can still add the deadline manually. ### What is the Viator cancellation deadline policy? Viator's platform default is full refund up to 24 hours before the experience start time, in the local timezone of the activity. However, operator-specific rules can override this — some walking tours and food experiences require 48 hours, multi-day tours often require 72 hours or more, and a few same-day attractions are non-refundable from the moment of booking. StayHawk surfaces whichever Viator cancellation deadline applies to your specific booking, not just the platform default. ### What is the GetYourGuide cancellation deadline policy? GetYourGuide's standard is also 24 hours before start time for a full refund on cancellable tickets — but a portion of the catalogue is marked non-refundable at booking, and operator-set rules can extend the window to 48 or 72 hours. StayHawk reads the cancellation clause in your GetYourGuide confirmation email and queues alerts against whichever cutoff applies, including non-refundable bookings (where the alert is a heads-up rather than an action item). ### Does StayHawk monitor activity prices the way it monitors hotels? No. We track when you can cancel your activity for free. We do not monitor activity prices. Activity pricing moves differently from hotel inventory — tours sell out, operators add seasonal supply, and Viator/GetYourGuide promo codes change weekly in ways our daily-check cadence isn't tuned for. If you want price monitoring with a rebooking playbook, that's the hotel feature. ### Is the activity cancellation deadline tracker free or does it need Pro? Pro. Activities aren't on the Free plan — the Free plan covers cancellation deadline tracking on hotels only. Multi-type bookings (activities, flights, trains, car rentals) are a Pro feature. You can upgrade at any time and downgrade whenever you want. ### What if I book an activity on a platform StayHawk doesn't parse? You can add the booking and its free-cancellation deadline manually from the dashboard, and the same three alert tiers will fire (7 days, 3 days, 24 hours out). Extraction depends on email format — if a smaller regional aggregator or an operator-direct site isn't in our parser list yet, manual entry covers the gap. We add new platform templates as we see new confirmation formats come through. ## Share Bookings With Partner (Pro Duo) ### How do I share hotel bookings with partner on StayHawk? To share hotel bookings with partner on StayHawk, open Workspace settings, switch to Members, and invite your partner by email. They get a magic link, sign in, and join your Pro workspace as a partner. From that point on, every hotel booking — plus flights, trains, car rentals, and activities — lives in the same dashboard for both of you, and we aim to surface alerts to both inboxes. Pro Duo is a workspace setup, not a separate plan tier. ### Does it cost extra to share hotel bookings with partner on top of Pro? No. To share hotel bookings with partner does not cost extra on top of Pro. The Pro plan includes a partner seat by default — that is what Pro Duo is. You pay one Pro subscription and your partner joins with the workspace_partner role. There is no separate Pro Duo SKU, no second invoice, and no per-seat upcharge as long as the workspace stays at two seats. ### What can my partner see and change once we share hotel bookings with partner? Once you share hotel bookings with partner, your partner can see and change every booking-related thing in the shared workspace. That means hotels, flights, trains, car rentals, and activities; cancellation deadlines and refund windows; price drop alerts; rebooking playbooks; and the urgency-sorted portfolio view. Either of you can forward a confirmation, edit a booking, or dismiss an alert. The partner role is read-write on bookings — what your partner cannot do is change billing, invite or remove members, rename the workspace, or delete it. ### Can my partner see billing or change the plan? No. Your partner cannot see billing or change the plan. Billing, plan changes, payment methods, member management, workspace renaming, and workspace deletion are all owner-only. The workspace_partner role is intentionally scoped to booking-level actions — your partner sees what you see on the dashboard, but the account-level controls stay with the workspace owner who pays for Pro. ### Is Pro Duo a separate plan I have to subscribe to? No, Pro Duo is not a separate plan you subscribe to. Pro Duo is a workspace setup, not a separate plan tier. You subscribe to Pro and invite your partner into your workspace — that two-seat configuration is what we call Pro Duo. There is no Pro Duo plan code in our billing system; pricing, limits, and features are the same Pro plan you would buy as an individual. ### Can I have more than two people in a workspace? For couples on Pro Duo, the workspace is two seats — one owner plus one workspace_partner. If you need more people on the same set of bookings — multiple travel agents, a client portal, agent-scoped access — that is the agency workspace product, which is a separate setup with its own roles. Pro Duo is specifically the couples shape: two seats, both inboxes, one set of bookings to share hotel bookings with partner. ### What happens to shared bookings if we split up? If you split up, the workspace owner can remove the partner from Members at any time. When the partner is removed, the bookings stay with the owner's workspace — the partner loses access on their side but no booking is deleted. If the partner had forwarded confirmations from their own email, those bookings remain in the workspace under the owner. We do not split a shared portfolio across two new accounts automatically; reach out to support if you need that. ### How does the couples travel planning app workflow work day-to-day? Day-to-day, the couples travel planning app workflow looks like this: whoever books forwards the confirmation to inbox@stayhawk.app from the email they signed up with. StayHawk parses it, extracts cancellation deadlines and starts price monitoring for hotels, and the booking shows up on the shared dashboard within a few minutes. Both of you get the same urgency-sorted list. When a deadline approaches or a cheaper refundable rate appears, we aim to surface the alert to both inboxes so neither of you has to relay screenshots to the other. ## Forward Hotel Confirmation Email ### How does the hotel confirmation email parser work? The hotel confirmation email parser works by reading the booking confirmation you forward to inbox@stayhawk.app. Our parser extracts the hotel name, dates, price, currency, and the cancellation deadline buried in the fine print, then writes a booking record to your dashboard. There is no scraping and no Playwright — we parse the email that the platform already sent you. The whole flow is usually under two minutes from forward to dashboard, and we flag any field where extraction confidence was low so you can correct it before alerts fire. ### Which platforms does the hotel confirmation email parser support? The hotel confirmation email parser supports 30+ booking platforms. On the hotels side — which works on both Free and Pro — we cover Booking.com, Expedia, Hotels.com, Marriott, Hilton, Hyatt, IHG, Accor, Best Western, Wyndham, Choice, Airbnb (deadlines only, since short stays rarely have refund windows), Vrbo, Agoda, and Trip.com. On Pro we add flights, trains, car rentals, and activities from carriers like United, Delta, American, BA, Air France, Lufthansa, Eurostar, SNCF, DB, Amtrak, Hertz, Avis, Sixt, Enterprise, Viator, GetYourGuide, and Klook. We may not parse every platform — if yours is missing, the email can still be added manually. ### Is the hotel confirmation email parser free? Yes — the hotel confirmation email parser is free for hotels. Free covers hotels; Pro covers transport and activities. You can forward unlimited hotel confirmations on the Free plan and we will extract dates, prices, and cancellation deadlines. Flights, trains, car rentals, and activities require Pro because those parsers are more expensive to run and the deadline logic is more involved (fare classes, change-fee tiers, refund windows). There is no per-extraction fee on either tier. ### What happens to my forwarded emails — privacy and data storage? Forwarded emails land in an AWS S3 bucket, a Lambda function parses them, and the extracted booking details are written to DynamoDB. The raw email stays in S3 with a retention policy so we can re-run extraction if a parser improves. We do not sell or share your email data with third parties, and we do not use the contents for advertising. You can request deletion of your account at any time, which removes the booking records and queues the underlying emails for purge. Full details are on our /privacy page. ### What if my booking platform isn't supported? If your platform isn't supported, you have two options. First, forward the email anyway — the parser may still extract enough to populate the booking, even if the platform isn't on our official list. We flag low-confidence extractions so you can review them. Second, if extraction fails or the platform doesn't email confirmations at all, you can add the booking manually from the dashboard with the same fields (hotel, dates, price, deadline). Manual bookings get the same alerts and deadline tracking. ### Can I auto-forward from my regular email? Yes. The simplest path is the linked email setup: in Settings → Linked Emails, add your everyday inbox (Gmail, Outlook, iCloud, Fastmail, etc.). We send a verification code; once you confirm, you can set up an auto-forward rule in your mail client for the booking platforms you use — Booking.com confirmations, Expedia receipts, airline tickets on Pro — and they land in StayHawk automatically. You can also just forward emails by hand one at a time without setting anything up. ### How is the forward hotel email tracker different from a scraping tool? The forward hotel email tracker reads emails you forward — it does not log into your accounts, doesn't run a headless browser, and doesn't scrape booking platforms. There is no scraping and no Playwright behind StayHawk. Scraping tools log into Booking.com, Expedia, or your airline account on your behalf, which puts your credentials at risk and violates the terms of service of most travel platforms. Email parsing only sees what was already in your inbox, so the privacy and ToS footprint is much smaller. ### What if my email is in a language StayHawk doesn't parse well? Parsing depends on the email format — we aim for confidence but flag low-confidence extractions for review. English and French confirmations are well-covered today. Other major European languages (German, Spanish, Italian, Portuguese, Dutch) usually parse correctly because the platforms send structured templates, but the cancellation deadline clause is the field most likely to come back low-confidence. If extraction is weak, you'll see a yellow flag on the booking; tap it to enter the deadline yourself, and alerts will fire on the corrected date. --- # Platform Coverage ### Booking.com (Online travel agency) — https://stayhawk.app/platforms/booking-com Cancellation deadline tracking + daily hotel price monitoring (Pro). StayHawk and Pruvo both watch hotel prices after you book. StayHawk goes wider: alongside price-drop alerts it tracks cancellation deadlines across hotels, flights, trains, and car rentals, gives you a rebooking playbook instead of acting for you, and adds a dedicated workspace tier for travel agencies. Side by side: - Hotel price monitoring after booking — StayHawk: Yes — daily checks for a cheaper refundable rate (Pro); Pruvo: Yes — this is its core focus - Cancellation deadline tracking — StayHawk: Yes — deadline alerts on every booking, including on the Free plan; Pruvo: Not the core focus - Flights, trains, and car rentals — StayHawk: Yes — deadline tracking for all three; Pruvo: Centered on hotels - Who acts on a cheaper rate — StayHawk: You do — StayHawk gives you the savings math and a rebooking playbook; Pruvo: Varies — check Pruvo for its current rebooking model - Travel-agency workspaces — StayHawk: Yes — team seats, client labels, role-based access (Agency plan); Pruvo: Check provider Choose StayHawk when: - You want one place for cancellation deadlines and price drops, not just price drops - You book flights, trains, or car rentals as well as hotels - You want to decide whether to rebook, with the math done for you, rather than have a service rebook on your behalf - You are a travel agent who needs client labels and a shared team workspace Choose Pruvo when: - Your only goal is hotel price tracking and you prefer a service oriented entirely around that - You specifically want a hands-off rebooking model #### Is StayHawk a Pruvo alternative? Yes. Both track hotel prices after you book. StayHawk also tracks cancellation deadlines across hotels, flights, trains, and car rentals, gives you a rebooking playbook to act on yourself, and offers a travel-agency workspace tier. #### What does StayHawk do that hotel-price trackers usually don't? StayHawk pairs price-drop alerts with cancellation-deadline tracking, so you are warned before a refundable booking becomes non-refundable — and every price-drop alert comes with a step-by-step rebooking playbook and the savings math in your home currency. --- ### StayHawk vs TripIt (Itinerary organizer) — https://stayhawk.app/compare/tripit TripIt is best known as a travel itinerary organizer: forward your confirmations and it consolidates flights, hotels, and other bookings into a single trip view. TripIt organizes your trips. StayHawk manages what happens to a booking after you make it — tracking the cancellation deadline and, for hotels, watching daily for a cheaper refundable rate, with a rebooking playbook when one appears. Side by side: - Primary job — StayHawk: Post-booking deadline + price-drop monitoring with rebooking guidance; TripIt: Consolidating bookings into a single itinerary - Hotel price-drop alerts after booking — StayHawk: Yes — daily checks for a cheaper refundable rate (Pro); TripIt: Not its primary focus — check current TripIt features - Cancellation deadline alerts — StayHawk: Yes — timed alerts before each refund window closes; TripIt: Check provider - Import by forwarding a confirmation — StayHawk: Yes — forward to inbox@stayhawk.app; TripIt: Yes — forwarding confirmations is a core TripIt workflow - Travel-agency workspaces — StayHawk: Yes — team seats, client labels, role-based access; TripIt: Check provider Choose StayHawk when: - Your priority is catching price drops and cancellation deadlines after you book - You want a rebooking playbook with the savings already calculated - You manage client bookings as a travel agent Choose TripIt when: - You mainly want a single, organized itinerary for every trip - You want in-trip navigation and day-of-travel itinerary features #### Is StayHawk an alternative to TripIt? They solve different problems. TripIt organizes your confirmations into one itinerary; StayHawk monitors what happens to a booking after you make it — cancellation deadlines for every booking and daily hotel price-drop checks on Pro. Many travellers use an organizer for trip planning and StayHawk for post-booking savings and deadlines. #### Can StayHawk import bookings by email like TripIt? Yes. Forward any supported confirmation to inbox@stayhawk.app from the email you signed up with and it parses the booking automatically — StayHawk never accesses your email account. --- ### StayHawk vs Google Hotels price tracking (Pre-booking price tracking) — https://stayhawk.app/compare/google-hotels-price-tracking Google Hotels lets you turn on price tracking for a hotel search, so Google can notify you about price movement for those dates before you book. Google's price tracking helps you shop before you book. StayHawk takes over after you book: it ties monitoring to your actual reservation, checks for a cheaper refundable rate on the same stay, and tracks the cancellation deadline so you can act in time. Side by side: - When it helps — StayHawk: After you book — tied to your actual reservation; Google Hotels price tracking: Before you book — tied to a search - Tracks your specific booked rate — StayHawk: Yes — your property, dates, room type, and rate; Google Hotels price tracking: Tracks search results, not your reservation - Cancellation deadline alerts — StayHawk: Yes; Google Hotels price tracking: No — not a booking-management tool - Rebooking playbook when a cheaper rate appears — StayHawk: Yes — savings math and step-by-step guidance; Google Hotels price tracking: No - Flights, trains, and car rentals — StayHawk: Yes — deadline tracking; Google Hotels price tracking: Separate Google tools, not unified with a booking Choose StayHawk when: - You have already booked and want to catch a cheaper refundable rate on that exact stay - You need to be warned before a cancellation deadline closes - You want the savings math and rebooking steps handed to you Choose Google Hotels price tracking when: - You are still shopping and comparing hotels before booking - You only want a rough sense of price movement for some dates #### How is StayHawk different from Google Hotels price tracking? Google tracks prices for a search before you book. StayHawk tracks the rate on a booking you have already made, looks for a cheaper refundable rate on the same stay, and alerts you before your cancellation deadline — with a rebooking playbook when a drop is found. #### Can I use both? Yes. Use Google Hotels to shop and compare before booking, then forward your confirmation to StayHawk so it can monitor that booking for price drops and track the cancellation deadline afterwards. --- # Customer Blog Articles ## Turn scattered bookings into one trip timeline *Published Thu Jul 23 2026 00:00:00 GMT+0000 (Coordinated Universal Time) — https://stayhawk.app/blog/group-bookings-into-trips-timeline* Group flights, hotels, trains, car rentals, and activities into trips and see the whole journey on one timeline — gaps, overlaps, and total cost. # Turn scattered bookings into one trip timeline You don't book a trip. You book pieces of one. The flight in January, when the fare looked good. The hotel three weeks later. A second hotel when you decide Kyoto deserves its own nights, then a rental car, then a train ticket someone told you to buy early. Each piece lands in your inbox as its own confirmation email, and none of them know the others exist. The trip exists in your head. Everywhere else, it's six emails across five booking sites. ## The week-before scramble Most people rediscover their own itinerary the week before departure. You search your inbox for "confirmation", open eleven emails to find six, and start cross-checking dates by hand. Does the car pickup line up with the train arrival? What did you actually book for the night of the 12th? Two mistakes hide well in a pile of confirmation emails: **The gap night.** Your first hotel ends on the 10th. Your next one starts on the 11th. Nobody planned a night in between — it just happened, three weeks apart, on two different websites. You find out at 11pm in a city where everything decent is sold out. **The double-booked night.** The opposite problem. You moved the Kyoto stay earlier but never trimmed the Tokyo one, and now you're paying for two rooms on the same night. If you catch it before the cancellation deadline, it's a free fix. If you don't, it's a donation. Neither mistake shows up in an inbox search. Put the same bookings on a calendar and the empty night jumps out before you've finished scrolling. ## Your bookings already live in one place If you forward your confirmation emails to StayHawk (or import them with the Chrome extension), every booking already sits in one dashboard — hotels, flights, trains, car rentals, and activities side by side, each with its own cancellation deadline tracked. That list answers one question well: what needs attention right now? It sorts by urgency, so the deadline closing in two days sits on top. But a list can't show you the shape of a journey. For that you need the bookings on a shared axis: time. ## Name a trip, pick the bookings On the Timeline page, you build a trip in three steps: give it a name, tick the bookings that belong to it, save. That's the whole flow. Picked the wrong booking? There's an undo right in the confirmation banner. Behind the scenes a trip is just a label on each booking, which keeps things flexible — the same flight can belong to "Japan, cherry blossom" and to "Q2 travel" at the same time. A booking can carry up to five labels. ## The timeline Here's what a trip looks like once it's built: Every booking becomes a bar. Hotels stretch across their nights, flights and trains sit on their travel day, the rental car spans pickup to return. Weekends are shaded, and each booking type keeps its own colour so you can read the composition at a glance. Look at the two hotel bars. They both cover the night of April 10 — the double-booked night from earlier. StayHawk checks accommodation dates automatically and puts an overlap flag on both bookings, so the mistake surfaces the day you build the trip, not the day you check in. Gaps are the reverse: a night with no bar under it means nobody booked you a bed. The card header does the arithmetic you'd otherwise do on a napkin: date range, nights, destinations, and the trip value — everything you've committed across all six bookings, converted to your home currency. ## What the trip page adds Each trip card links to its own page, which answers the question that comes after "does the itinerary hold together": what is this trip actually costing? The trip page splits the total by category, so you can see that hotels are eating two-thirds of the budget before you argue about anything else. You can attach expenses that aren't bookings at all, like a restaurant deposit or park permits, and they roll into the trip value. Documents live on the trip page too: your booking attachments in one place, plus a checklist of what's worth uploading based on what the trip contains. A trip with a rental car suggests the rental agreement; one with flights suggests the confirmations; travel insurance is always on the list. ## Your alerts don't change A trip is a view, not a new thing to maintain. Cancellation deadline alerts and daily price monitoring keep running per booking, exactly as before. The deadline reminder for the Kyoto hotel fires whether or not that hotel is in a trip. Grouping just means that when an alert does arrive, you can see what it touches — cancel this hotel and the timeline shows you what's left around it. ## Try it on your next trip The Timeline is part of StayHawk Pro (£79/year, or £9/month), alongside price monitoring and support for flights, trains, car rentals, and activities — on our own Canada trip, tours and tickets made up nearly half the bookings. If you'd rather feel the product out first, the free plan tracks 5 hotel bookings with deadline alerts — no credit card required. Forward a confirmation email and see how the dashboard handles it. Then, when you're ready to see a whole journey on one timeline, [that's Pro](https://stayhawk.app). --- ## How to track hotel prices (before and after you book) *Published Wed Jul 01 2026 00:00:00 GMT+0000 (Coordinated Universal Time) — https://stayhawk.app/blog/how-to-track-hotel-prices* How to track hotel prices before and after you book — the free methods, the tools, and how to catch a price drop while you can still act on it. # How to track hotel prices (before and after you book) Hotel prices move. A room can cost one thing this morning and something else by tonight, then shift again next week. Hotels reprice constantly as demand rises and falls, and now that most of them lean on automated pricing engines, the swings only get bigger. So if you want to pay less, timing matters. Tracking hotel prices means watching a specific hotel and date range over time instead of checking once and hoping you caught a good moment. There are two moments where it pays off: before you book, and after. Most people only think about the first one. ## What "tracking hotel prices" means Tracking just means watching the same hotel and dates over days or weeks, and getting told when something changes. You're not committing to anything by keeping an eye on a price — you're gathering enough information to act at a good moment instead of guessing. There are two windows where that information is worth money: - **Before you book.** You've picked a hotel but haven't paid yet. Tracking tells you whether to book now or wait a few days for a better rate. - **After you book.** You've paid, and with the trip still weeks off you've stopped looking. This is where most of the savings hide, because almost nobody checks. The tools and the payoff are different for each. Here's how both work. ## Why hotel prices move so much A hotel doesn't set one price for a room and leave it there. It reprices the same room over and over — sometimes several times in a single day — chasing whatever it reckons that night is worth. So the same room ends up selling for wildly different amounts depending on demand, and demand never sits still. A few things push the price around: - **Occupancy forecasts.** A big group booking cancels, projected occupancy drops, and the hotel discounts to fill rooms. - **Events.** A conference lands (or gets moved), and rates for those nights swing. - **How far out check-in is.** Rates often soften as a date approaches and the hotel would rather sell a room cheap than leave it empty. - **The competition.** Hotels watch each other's rates and adjust in near real time. We break the mechanics down in full here: [why hotel prices drop after you book](/blog/why-hotel-prices-drop-after-you-book). The gist is that the price you saw was really just a snapshot in time. ## Tracking before you book Before you've committed, tracking is about timing. You've found a hotel you like, but you're not sure today's price is a good one. The simplest free option is **Google Hotels**. Search your hotel and dates, then toggle "Track prices" on. Google emails you when rates change across the sites it checks. It's fast to set up and costs nothing. Worth knowing: this is search-level tracking. Google is watching the hotel-and-date combination rather than a booking, since you haven't made one yet — which is exactly what you want at this stage. You're still deciding whether to commit, and Google is telling you whether waiting a few days might pay off. Here's what watching a single hotel's rate over a month actually looks like: The line wanders around. There isn't really one "price" so much as a range, with a few better moments scattered inside it. Tracking is how you spot that pattern instead of landing on one random data point. ## Tracking after you book (the part people skip) This is the window almost everyone misses. You booked, you closed the tab, and as far as most people are concerned that's the end of it. It doesn't have to be. If your rate is refundable, the price can keep falling right up until check-in, and you can cancel the original and rebook at the lower rate. Plenty of bookings see a price drop at some point after booking, and a successful rebook can save enough to make the effort worth it. But catching it takes two things: 1. You have to notice the price dropped. 2. You have to act **before your cancellation deadline closes.** The second part is where it usually falls apart. A price drop you notice the day after your refundable window closed doesn't do you any good. So tracking after you book is really two jobs at once: watching the price and watching the clock. Google Hotels doesn't help here. It doesn't know what you paid or when your cancellation deadline falls, and it can't tell you whether a cheaper rate is even on a refundable room. It's built for the before-you-book search, not your specific reservation. This is where dedicated tools come in. You forward your confirmation email, they read out the hotel, dates, rate, and cancellation deadline, and they check the price every day until you check in. When a cheaper refundable rate shows up, you get an alert like this: An alert only helps if it reaches you while there's still time to act on it. A price drop paired with a closing deadline is the combination actually worth paying attention to. ## How to set up hotel price tracking Your options, roughly in order of effort: - **Google Hotels "Track prices"** — free, 30 seconds, best for the before-you-book decision. Doesn't know your booking. - **A calendar reminder** — set an alert a few days before your cancellation deadline, then check the price manually. Free, and fine for one or two trips a year. It breaks down fast once you're juggling several bookings, because you're checking once instead of daily. - **A dedicated post-booking tracker** — forward your confirmation and let it check daily until check-in. Worth it if you book more than a handful of hotels a year. We compared the specific after-booking tools — Google Hotels, Pruvo, browser extensions, and StayHawk — side by side in [how to automatically track hotel prices after booking](/blog/how-to-automatically-track-hotel-prices-after-booking). If you already know you want to automate the post-booking part, start there. ## What to do when the price drops Tracking is only half of it. The point is to act. When a lower refundable rate shows up, the move is simple: 1. Confirm the new rate is refundable and matches your room and dates. 2. Check that your original booking's cancellation window is still open. 3. Book the new rate, then cancel the old one — in that order, so you're never left without a room. We walk through the details, including how to handle non-refundable bookings, in [what to do when your hotel price drops after booking](/blog/what-to-do-when-hotel-price-drops-after-booking). ## Where StayHawk fits StayHawk watches the price and the cancellation deadline on the same booking. Forward your confirmation email (or import a booking with the Chrome extension) and it reads the hotel, dates, rate, and deadline for you. From then on it checks the price every day across several sources and pings you when a cheaper refundable rate turns up — while there's still time to cancel and rebook. Let me get personal for a second, because I actually use this. I'm David, I built StayHawk, and it runs on my own trips. A three-night stay at The Platinum Hotel in Las Vegas quietly dropped from $297 a night to $263 after I'd booked it — the app caught it and I rebooked for $101.68 less. A River Hotel booking in Chicago dropped *twice* over a few weeks, and rebooking each time took another $117 off. Throw in a cabin near Bryce Canyon and a night in Dinant, Belgium, and I'm about $240 (plus a stray €17) ahead across five rebooks. Not one of those was a deal I went hunting for — I'd already stopped looking the moment I paid, which is exactly the problem. The free tier tracks up to 5 bookings and warns you before a cancellation deadline. Pro adds the daily price monitoring that caught every one of those drops. There's an agency plan too, for travel professionals watching client bookings in a shared workspace — where a missed deadline or an uncaught drop comes straight off a client's trip. What makes it more than a plain price tracker is that deadline. A rate getting cheaper is nice to know. A rate getting cheaper *while* your refundable window is about to close is the thing that actually gets you to act on it. ## Frequently asked questions **How do I track hotel prices for free?** Google Hotels has a "Track prices" toggle that emails you when rates change for a specific hotel and date range. It's free and takes about 30 seconds. It's best for deciding when to book — it doesn't track your actual reservation or your cancellation deadline. **Can I track hotel prices after I've already booked?** Yes. Dedicated tools like StayHawk and Pruvo check prices daily after you forward your confirmation email, so you can rebook at a lower refundable rate if one appears before your cancellation deadline. **How often do hotel prices actually change?** Constantly — hotels adjust their rates throughout the day, and many bookings see a price drop at some point after booking, which is why checking once isn't enough. **Is it worth tracking hotel prices after booking?** If your rate is refundable, usually yes. A successful rebook can save enough to cover a year of any tracking tool — and the tracking runs in the background either way, so it costs you almost no effort. --- *Forward your confirmation email to StayHawk and track your hotel's price until check-in — with an alert before your cancellation window closes. So we shipped check-in reminders the same week. Three days out and one day out — for hotels, flights, trains, and car rentals. Opt in, by push, by email, or both. # Check-in reminders: a 3-day and 1-day nudge that catches the wrong-day booking Last Saturday at 5 AM we got up to head to St Pancras for a Eurostar to Paris. Half-dressed, kettle on, opening the app to check the platform — and the booking said Friday, 07:00. Twenty-two hours earlier. We had booked the wrong day, filed the confirmation, and never looked at it again until the morning we were supposed to leave. Two non-refundable tickets, £207 a head, gone before the kettle had finished boiling. That's a stupid error. It's also the kind of error nobody bothers to design against, because most travel apps assume you got the date right the first time. We didn't. The email was filed, the calendar invite was set, the inbox had moved on. The booking sat there for weeks with Friday on it while we kept on writing "Saturday" on every plan around it. So we shipped check-in reminders this week. Three days before your trip and one day before, StayHawk sends you a push notification and/or an email that tells you what you're about to do, when, and where. If we'd had this last week, we'd have looked at our phones on Tuesday morning and gone "...that says Friday. We thought it was Saturday." £414 saved. It's live now. You just have to switch it on first — we don't want to add new notifications to your existing setup without you asking. Two clicks in Settings does it. ## What you get Two reminders per booking: - **Three days out.** "Your Eurostar from London to Paris leaves in 3 days, on Tuesday at 07:13. Departing from London St Pancras." - **One day out.** Same booking, refreshed for the morning before. "Eurostar to Paris leaves tomorrow at 07:13." You pick how you want them delivered: push on your phone (if you have the iOS app), email to your inbox, or both. We'll get to where to set that in a moment. Both channels respect your quiet hours. Both link straight back to the booking, so if something looks off, one tap takes you to the source. Train number, station, ticket reference, your name on the ticket. It works for every kind of booking we track. The reminders anchor to whatever moment matters for that booking — hotel check-in, flight or train departure, car rental pickup: ## How the timing works The reminders run on the booking date, not on calendar days. The 3-day reminder lands roughly 72 hours before the trip starts. The 1-day reminder lands roughly 24 hours before. Both at a sensible time of day, never overnight. If you ever change the booking date — you spot a mistake and edit it, or the airline reschedules — the reminders re-anchor to the new date. The old one clears, the new one queues up. No duplicate buzz. ## Why three days and one day Three days is far enough out to do something useful. Most platforms allow free changes up to 24 or 48 hours before departure, so a wrong-date booking caught three days out is usually recoverable. One day is the last sane moment to look. Anything closer than that and the message starts to feel like cruelty. We don't ping you at the hour before, or three hours before. The point isn't to nag you up to the boarding gate. It's to make sure you actually see the booking in the calm 72 hours before a trip, while there's still time to fix something. The lock screen and the inbox do the rest. ## Catching the wrong-day error specifically The Eurostar mistake is the case we tested the design against. The shape of it goes: 1. You book weeks in advance, confident about the date. 2. The confirmation lands, you skim it, you file it. 3. Your mental calendar settles on a day. "We leave Saturday." 4. The actual ticket says Friday. 5. Time passes. You don't look at the booking again. 6. The reminder is the moment those two things — your mental calendar and the actual ticket — get put next to each other. The 3-day reminder is the one that catches this. It puts the trip date in front of you while there's still time to call the train company, swap the ticket, or buy a new one without writing off the old one in full. The 1-day reminder is the safety net for the times you missed the 3-day one because you were on a plane or at a wedding. ## Turn it on: email, push, or both Check-in reminders are off until you turn them on. We didn't want to start buzzing existing accounts with a new kind of notification nobody had opted into. Head to Settings → Notifications → Immediate Alerts. There's a row for the 3-day reminder and a row for the 1-day reminder. Each row has two toggles, one for push and one for email. Tick whichever combination you want — both reminders by push, both by email, both by both, or just the 1-day one if the 3-day feels like too much. Whatever fits. The same panel controls cancellation deadline alerts and price drop alerts. Quiet hours apply across all of them. ## What's on which plan Check-in reminders are on every plan, including Free: | | Free | Pro | Agency | |---|---|---|---| | Check-in reminders (3D + 1D) | ✓ | ✓ | ✓ | | Cancellation deadline alerts | ✓ | ✓ | ✓ | | Daily price monitoring | — | ✓ | ✓ | | Bookings tracked | 5 | 30 | 500 | We don't gate reminders behind a subscription. The whole point of the watchdog is that it watches whether you've paid or not. The free tier covers five bookings, which for most people is a single trip, and the reminders are exactly what you want on it. ## Try it on your next trip Flip the toggles in Settings → Notifications → Immediate Alerts, and the next booking you've got coming up inside the 3-day window will trigger a reminder. If you don't have a booking in there yet, forward a hotel confirmation, a train ticket, or a flight booking to inbox@stayhawk.app from the email you signed up with, and the reminder schedule starts from there. --- ## StayHawk for iOS: cancellation deadlines and price drops on your phone *Published Sat May 16 2026 00:00:00 GMT+0000 (Coordinated Universal Time) — https://stayhawk.app/blog/stayhawk-for-ios* StayHawk is on the App Store. Forward a confirmation, see every cancellation deadline ranked by urgency, and get a push the moment a cheaper refundable rate appears. # StayHawk for iOS: cancellation deadlines and price drops on your phone You booked a hotel three weeks ago. The free-cancellation window closes tomorrow at 6 PM. Right now you're between meetings, your laptop is at home, and the confirmation email is buried under two hundred newer ones. That moment is why we built StayHawk for iOS. The web dashboard has been live for a year. It works. But a watchdog that sits inside a browser tab you forgot to open isn't really watching anything. iOS adds two things the web can't: push notifications that interrupt at the right moment, and a glanceable view of every booking in your pocket, sorted by what's about to expire. The app is live on the App Store now. Same login as the web. Same bookings. Same plan. ## What you see when you open it The home screen lands you on three things, one tap from anywhere: 1. **Your savings so far this year.** Every successful rebook gets counted on this tile. Proof the watching is worth it. 2. **What needs you right now.** The Overlook Hotel deadline closes at 6 PM tomorrow. Hotel California is €240 cheaper today than what you paid. Either is worth opening the app for. Both at once is the kind of day you want to catch in time. 3. **What's coming up.** Check-ins ranked by date. No spelunking through inbox folders the day before you fly. This is the same urgency-sorted portfolio the web dashboard shows, formatted for a phone. The deadline closing tomorrow is always first. The booking you locked in last month and forgot about is at the bottom where it belongs. ## The cancellation countdown Tap a booking and you get everything that matters about it on one screen: - **The countdown ring.** Red inside 24 hours, amber inside a week, neutral after that. The ring shrinks as the deadline approaches. - **What you paid and what it costs now.** No comparison shopping required — we run price checks daily across Booking.com, Hotels.com, Google Hotels, and a handful of other sources, and surface the cheapest refundable rate we found. - **The booking link.** Tap "Open" to jump back into the platform where you originally booked. From there you compare, cancel the old one, book the new one. We don't auto-cancel anything. Every consumer service that has tried — DreamCheaper, Tingo, Service App — has died trying to manage that complexity on the user's behalf. Double-bookings, support tickets, liability. We tell you, fast, and you decide. ## Alerts that reach you at the right moment Push notifications are the reason we built this. An email alert is easy to mark unread. A push that says "8 hours left to cancel the Overlook Hotel" while you're at lunch is harder to ignore. Inside the app, alerts are grouped by urgency, not chronology. "Act now" is anything in the next 24 hours. "This week" is the rest. Once you've actioned an alert — rebooked, cancelled, or just decided to leave it — it drops to "Cleared" and stops nagging. Both kinds of alert respect your quiet hours, every time, including imminent deadlines. The phone doesn't buzz at 2 AM because something expires at 3 PM the next day. If you're paying us to be the watchdog, we shouldn't be the thing that wakes you up. Two kinds of alert reach your lock screen: | Alert | When it fires | |---|---| | **Deadline alert** | Inside the window we set per booking, usually around 24 hours before the cancellation deadline | | **Price drop alert** | A refundable rate at the same hotel comes in cheaper than what you paid | ## How a booking actually gets into the app Same process as the web. Nothing new to learn: 1. Forward a hotel confirmation email to inbox@stayhawk.app from the email you signed up with. No Gmail OAuth, no app permissions. 2. We parse the hotel, dates, rate, and cancellation deadline. Usually within ten seconds. 3. The booking appears in the dashboard, the price pipeline starts watching it daily, and the deadline goes in the queue. If you've already got bookings on the web dashboard, they're already there. Open the app and they sync. First login is the slowest moment. After that, the experience is local. You can also use the StayHawk Chrome extension to import directly from a hotel website in one click — useful when there's no confirmation email yet, or it came through a corporate portal that hides them. Either way, the booking lands in the same place. ## What's on which plan Nothing changes between web and iOS. Same workspace, same limits, same plan: | | Free | Pro | Agency | |---|---|---|---| | Bookings tracked | 5 | 30 | 500 | | Deadline alerts | ✓ | ✓ | ✓ | | Daily price monitoring | — | ✓ | ✓ | | Push notifications | ✓ | ✓ | ✓ | | Native iOS app | ✓ | ✓ | ✓ | The app itself is free to download. The free plan covers five bookings with deadline alerts and push — enough to feel the value on one trip. Pro is £9/month or £79/year for 30 bookings and price monitoring. Agency is £49/month for 500 bookings and a team workspace. We don't gate the app behind a subscription. A free-tier user with one booking and one cancellation alert gets the same iOS experience as a Pro user with thirty. Fewer bookings on screen, that's all. ## A note on the engineering For the curious: the iOS app is built thin. Every screen pulls a fully-formatted view-model from one HTTP endpoint we call our Experience API. Swift doesn't format dates, pick icons, or translate strings — the server does. We wrote about why and what we got out of it in [Backend for Frontend, scoped to one screen](/blog/backend-for-frontend-mobile-app). The practical consequence: the iOS app stays small, the build queue stays short, and a one-letter typo fix on a screen doesn't need a 28-hour App Store review. ## Try it If you've used StayHawk on the web, the iOS app costs nothing extra and works with the same login. If you haven't, install it, forward your next hotel confirmation, and see what happens. --- ## Can hotel prices drop after booking? Yes — and it happens more than you think *Published Tue Apr 14 2026 00:00:00 GMT+0000 (Coordinated Universal Time) — https://stayhawk.app/blog/can-hotel-prices-drop-after-booking* Yes, hotel prices can drop after you book. Studies show 40-57% of bookings see a lower rate before check-in. Here's how often it happens and what to do. # Can hotel prices drop after booking? Short answer: yes. Frequently. A [RatePunk analysis](https://www.ratepunk.com/blog/post/ever-tracked-hotel-price-after-booking-in-57-of-the-cases-you-would-have-saved-data-shows) of 28,000 tracked hotel bookings over 12 months found that 57 percent saw a lower rate appear between booking and check-in. Pruvo, another price tracking service, [reports the number at 40 percent](https://financebuzz.com/save-on-hotels-with-pruvo). Either way, the odds are roughly a coin flip that your hotel room will be available cheaper at some point before you arrive. But almost nobody finds out. You book, you close the tab, you move on. Nobody sits there checking hotel prices every day for three weeks. So the price drops, you never notice, and the hotel quietly collects the higher rate. ## Why hotel prices drop after you book Hotels don't set a price and leave it. They use dynamic pricing algorithms that [adjust rates thousands of times per day](https://skift.com/2025/10/26/the-new-science-of-hotel-pricing/) based on occupancy forecasts, competitor pricing, local events, booking pace, and how far out the check-in date is. When a conference gets cancelled, occupancy projections shift. When a group booking falls through, a block of rooms suddenly needs filling. When a competitor drops their rate, the algorithm follows. None of these adjustments take into account what you already paid. [Rate volatility can hit 42 percent during peak seasons](https://www.travelscrape.com/hotel-rate-volatility-insights-2025.php) according to TravelScrape's 18-month hotel rate dataset. That means a room you booked at $250 could dip to $145 and spike back to $280 within the same week. The price you locked in was just a snapshot of a constantly moving target. We covered the mechanics in more detail in [why hotel prices drop after you book](/blog/why-hotel-prices-drop-after-you-book). ## How much do prices typically drop? When a price drop happens, it's usually not pocket change. [RatePunk's dataset](https://www.ratepunk.com/blog/post/ever-tracked-hotel-price-after-booking-in-57-of-the-cases-you-would-have-saved-data-shows) puts the average saving at $62 per booking, with the largest single rebook saving $1,274 on a 12-night stay. [Pruvo reports an average of $60 saved per rebook](https://financebuzz.com/save-on-hotels-with-pruvo). Say you book a three-night stay at $220 per night. Two weeks later, the same room on the same dates is listed at $175. That's $135 you're leaving on the table. Enough for a nice dinner, a day trip, or most of a flight upgrade. The savings scale with the length of stay. A $45-per-night drop on a one-night booking barely registers. The same drop on a seven-night vacation is $315. [HotelSlash](https://thriftytraveler.com/news/hotelslash-hotel-price-tracking-tool/), another tracking service, reports early users saved roughly 30 percent on average on rebooked stays. ## When are price drops most likely? Not every booking has the same odds of seeing a drop. A few patterns show up consistently. Bookings made far in advance are more exposed. The further out your check-in date, the more time there is for rates to move. A booking made three months ahead will see dozens of price adjustments before you arrive. One made next week probably won't. Shoulder seasons — the weeks just before and after peak — tend to see the most volatility. Hotels are adjusting aggressively as demand shifts, and rates can swing 20-30 percent in either direction. Urban business hotels are particularly volatile. These properties live and die by occupancy, and a slow corporate travel week can trigger sharp rate cuts to fill rooms. Big cancellation events matter too. When a conference gets cancelled or a group booking falls through, a block of rooms hits the open market all at once. Prices often drop sharply in the days after. Non-refundable bookings and Airbnb-style accommodations are less likely to see usable drops. Even if the price changes, you can't act on it if you can't cancel. ## Can you actually rebook at the lower price? Yes, if you booked a refundable rate and your cancellation deadline hasn't passed. Book the same room at the new, lower price. Confirm the new booking is locked in. Then cancel the original within the cancellation window. Always book first, cancel second. If you cancel first and the rate moves again, you're stuck with no room at all. The hard part is timing. You need to spot the drop while the cancellation window is still open. A price drop that shows up the day after your deadline passes is just bad news you didn't need. [70 percent of travellers in 2024 considered flexible cancellation a requirement](https://www.littlehotelier.com/blog/running-your-property/hotel-cancellation-policy/), meaning most bookings are made on refundable rates in the first place. Those travellers could act on a price drop if they caught it in time. They just don't know it happened. We wrote a full step-by-step guide in [what to do when your hotel price drops after booking](/blog/what-to-do-when-hotel-price-drops-after-booking). ## How to know when your hotel price drops Three ways to handle this. **Check manually.** Set a calendar reminder a few days before your cancellation deadline. Search your hotel on the same booking site and on Google Hotels. If the rate is lower, rebook. This works for one or two bookings, but it doesn't scale past that, and you'll miss drops that appear between your checks. **Use price alerts.** Services like Pruvo and HotelSlash monitor hotel prices after you book and send you an email when a lower rate appears. You forward your confirmation email, and they handle the daily checks. **Track prices and deadlines together.** Most price monitoring tools don't know when your cancellation window closes. StayHawk does. It parses your confirmation email for both the rate and the deadline, monitors prices daily, and only alerts you when a cheaper rate appears while you can still cancel and rebook. A price alert after the window closed is just noise. Hotel prices drop after booking roughly half the time, and the savings are real. The travellers who come out ahead are the ones who keep watching. ## Frequently asked questions **Can hotel prices go down after you've already booked?** Yes. Between 40% and 57% of hotel bookings see a lower rate appear before check-in. Hotels use dynamic pricing algorithms that adjust rates thousands of times per day, and your booking doesn't lock the market price — only your rate. **How often do hotel prices drop after booking?** Between 40% and 57% of bookings see a price decrease before check-in, depending on the study. The further in advance you booked, the more likely you'll see a drop, since there's more time for rates to shift. **How much can you save by rebooking a hotel at a lower price?** RatePunk and Pruvo both report averages around $60 per rebook, with individual cases ranging from a few dollars to over $1,000 on longer stays. The savings scale with the length of stay, since the per-night difference applies to every night. **Is it worth checking hotel prices after booking?** If you booked a refundable rate, yes. The expected value is positive — roughly half of bookings see a drop, with average savings around $60 per rebook. Even a few minutes of checking can pay off significantly. **Do hotels care if you cancel and rebook at a lower price?** Hotels expect cancellations on refundable bookings. That's why they offer both refundable and non-refundable rates — the non-refundable rate is discounted precisely because it protects the hotel from cancellation risk. Rebooking at a lower rate is using the system as designed. ## Sources - [RatePunk — "In 57% of the cases you would have saved": 28,000-booking dataset, $62 average savings](https://www.ratepunk.com/blog/post/ever-tracked-hotel-price-after-booking-in-57-of-the-cases-you-would-have-saved-data-shows) (RatePunk, Feb 2024) - [Pruvo — 40% of reservations see a price drop, $60 average savings](https://financebuzz.com/save-on-hotels-with-pruvo) (FinanceBuzz review of Pruvo) - [HotelSlash — Early users saved 30% on average](https://thriftytraveler.com/news/hotelslash-hotel-price-tracking-tool/) (Thrifty Traveler, May 2023) - [Skift — Self-learning pricing engines update thousands of times per day](https://skift.com/2025/10/26/the-new-science-of-hotel-pricing/) (Skift, Oct 2025) - [TravelScrape — Hotel rate volatility reaches 42% during peak seasons](https://www.travelscrape.com/hotel-rate-volatility-insights-2025.php) (TravelScrape, 2025) - [Little Hotelier — 70% of travellers in 2024 considered flexible cancellation a requirement](https://www.littlehotelier.com/blog/running-your-property/hotel-cancellation-policy/) (Little Hotelier, 2024) --- *Forward your confirmation email to StayHawk and get alerted when the price drops — while you can still rebook. Stop juggling confirmation emails. # How to manage flights, car rentals, and hotels in one dashboard You booked the hotel. Then the flight. Then the rental car. Now you have three confirmation emails from three platforms, each with its own cancellation policy and its own deadline buried somewhere in the fine print. Most people deal with this through some combination of memory and calendar reminders. It works right up until a deadline slips by while you're busy with something else. ## Bookings are scattered by default A typical trip generates at least three bookings. A family vacation or multi-city itinerary can easily hit six or seven, and each one lives somewhere different: - Your hotel is on Booking.com with free cancellation until April 15 - Your flight is through the airline's website, changeable until 24 hours before departure - Your car rental is on a comparison site with a cancellation window you can't quite remember The deadlines don't match. The policies don't match. The emails don't even look the same. And none of these platforms know about each other. So you're left with two options: spend time manually tracking everything, or accept that you'll probably miss something eventually. ## What "managing" bookings actually looks like When I think about what people actually need from their travel bookings after they've booked, it really comes down to visibility. Which bookings are active, what are the dates, and what did I pay? When bookings are spread across five platforms, even that basic picture takes work. Then there are deadlines. Free cancellation is great, but a refundable flight you forgot to cancel costs exactly the same as a non-refundable one. The policy only matters if you act before it expires. And timing. Whether it's a cancellation window closing or a schedule conflict, you need to know before the decision gets made for you. ## Flights and car rentals now live alongside hotels StayHawk now tracks flights and car rentals in the same dashboard as hotels. Forward a confirmation email from an airline, a rental company, or a hotel, and the details get pulled out automatically. For flights, that includes airline, flight number, route, departure and arrival times with timezone, cabin class, passenger count, and cancellation deadline when one exists. For car rentals: rental company, car category, pickup and dropoff locations and times, driver name, and cancellation deadline. Hotels work the same as before, with booking details, cancellation deadlines, and daily price monitoring. Everything shows up in a single view, sorted by what needs attention first. No switching between apps. No digging through old emails. ## Why there's no price monitoring on flights and car rentals (yet) We want to be upfront about this. Hotels have mature price comparison data. You can check what a room costs today versus what you paid, across multiple platforms, and decide whether to rebook. StayHawk does this daily. Flights and car rentals are messier. A "cheaper" flight might have different layovers, departure times, or baggage rules. A lower car rental rate might come with different insurance terms. Comparing prices in a way that's actually useful is harder than it looks. So for now, StayHawk focuses on what matters most for these booking types: keeping every deadline visible. Cancellation policies on flights and rental cars are easy to miss and expensive to forget. Having them tracked automatically, right next to your hotel deadlines, fills the biggest blind spot in how most people manage trips. ## How it works Same process for every booking type: 1. Forward your confirmation email to inbox@stayhawk.app from the email you signed up with 2. The email gets parsed and booking details get extracted 3. Your dashboard shows everything sorted by urgency No manual entry. The parser handles confirmations from airlines, rental companies, and hotels. If there's a cancellation deadline in the email, it gets picked up automatically. One thing to note: flight and car rental tracking requires the Pro plan. Hotel tracking, including deadline alerts and price monitoring, works on every plan including the free tier. ## Where this makes the biggest difference Multi-city trips are the obvious one. Three cities might mean three hotels, two or three flights, and a rental car or two. That's seven or eight bookings with different deadlines. Seeing them all ranked by urgency makes the whole thing manageable. Group travel is another. Booking for a family means the number of reservations multiplies fast. Knowing which ones are still changeable, and until when, is the difference between having options and being locked in. If you travel frequently and have five or six trips booked at any given time, you're looking at twenty-plus active bookings. Nobody can track that by memory. And if you're a travel agent managing client bookings across trip types, a single workspace that covers flights, cars, and hotels means fewer tools and fewer things slipping through. ## What you can do about it If you're already using StayHawk for hotels, start forwarding your flight and car rental confirmations too. They'll show up in your existing dashboard, sorted right alongside your hotel bookings. If you're currently managing all of this through email and calendar reminders, a single dashboard might save you the cost of a missed deadline. Which, if you've ever missed one, you know is not a small number. --- ## How to automatically track hotel prices after booking *Published Tue Mar 31 2026 00:00:00 GMT+0000 (Coordinated Universal Time) — https://stayhawk.app/blog/how-to-automatically-track-hotel-prices-after-booking* How to set up automatic hotel price tracking after you book. Compare manual methods, browser extensions, and dedicated tracking tools. # How to automatically track hotel prices after booking You booked a hotel. Now you want to know if the price drops before your trip. The problem isn't whether prices drop (they do, on 40 to 57 percent of bookings). The problem is that nobody has time to check hotel prices every day for weeks. Here's every way to automate that check, from free methods that take five minutes to dedicated tools that run in the background. ## Why tracking after booking matters Most people compare prices before they book. Once the booking is confirmed, they stop looking. That makes sense. You've got a room, it's done. But hotel prices aren't fixed. They move constantly. Hotels adjust rates hundreds of times a day based on occupancy, events, competitor pricing, and how far out the check-in date is. A room that cost you one price when you booked might be significantly cheaper three weeks later because a group booking cancelled or occupancy projections shifted. If you booked a refundable rate, you can cancel the original and rebook at the lower price. The savings are real. But you have to know the price dropped, and you have to act before your [cancellation deadline](/blog/how-to-never-miss-hotel-cancellation-deadline) closes. That's the window. Price drop + time to act = savings. Miss either one and the opportunity is gone. ## Method 1: Google Hotels price tracking Google Hotels has a "Track prices" toggle that sends you email alerts when rates change for a specific hotel and date range. **How to set it up:** 1. Search for your hotel on Google Hotels (or Google Search, then click the hotel result) 2. Enter your dates 3. Toggle "Track prices" on **What's good:** Free. Takes 30 seconds. Google checks multiple booking sites. **What's missing:** Google's tracking is pre-booking. It monitors a hotel search, not your specific booking. It doesn't know your cancellation deadline, doesn't know what you paid, and can't tell you whether a rate drop is on a refundable or non-refundable room. You get a notification that rates changed, but you still have to figure out whether it matters for your situation. It also won't compare the new rate to your original booking price. You'll need to remember what you paid and do the math yourself. ## Method 2: Calendar reminders (the manual way) The low-tech version that actually works, as long as you don't have too many bookings. **How to set it up:** 1. When you book, add two calendar events: one for the cancellation deadline and one reminder 3 to 5 days before it 2. When the reminder fires, check the current price on Google Hotels and the site where you booked 3. If the rate is lower, [rebook at the new price](/blog/what-to-do-when-hotel-price-drops-after-booking) and cancel the original **What's good:** Free. No tools needed. You control the timing. **What's missing:** You're checking once. Hotel prices move daily, so a single check might miss the lowest point entirely. If you have three or four upcoming bookings, that's three or four manual checks to manage. It also takes about 10 minutes per booking per check, which adds up if you travel frequently. This method works for the occasional trip. It breaks down for anyone managing more than a couple of bookings at a time. ## Method 3: Dedicated price tracking tools These services are built specifically for post-booking hotel price monitoring. You forward your confirmation email, they parse the booking details, and they check prices daily until your check-in date. ### Pruvo The most established name in this space. Forward your confirmation email to Pruvo (or connect your Gmail account), and they monitor prices across their partner OTAs. When a rate drops, you get an email with a link to rebook through one of Pruvo's affiliate partners. Pruvo is free. The trade-off is that it only surfaces rates from partner OTAs, which means it might miss a lower rate on a non-partner site. And it doesn't track your cancellation deadline. You'll get a price drop alert but won't know at a glance whether you can still act on it. ### HotelSlash From the team behind AutoSlash (which has tracked car rental prices since 2010). Forward your confirmation to save@hotelslash.com and they monitor across 50+ booking sites. Alerts come within 10 minutes of detecting a drop. HotelSlash is a paid annual subscription. The paid model means they aren't limited to affiliate partners for rate coverage. Like Pruvo, they don't track cancellation deadlines. ### StayHawk StayHawk monitors prices and cancellation deadlines together. Forward your confirmation email (or import a booking with the Chrome extension), and it parses the hotel, dates, rate, and cancellation deadline. It checks prices daily across multiple sources and alerts you when a cheaper rate is available while you still have time to cancel and rebook. The free tier tracks up to 5 bookings with deadline alerts (no price monitoring). The Pro plan adds price monitoring for up to 30 bookings. There's also an agency plan for travel professionals managing client bookings across a team workspace. The thing that's different about StayHawk is the deadline connection. A price drop alert tells you something is cheaper. A price drop alert with "your cancellation window closes in 4 days" tells you to do something about it now. ## Method 4: Browser extensions ### RatePunk A browser extension (Chrome, Firefox, Safari, Opera, Edge) that shows rate comparisons when you visit hotel booking pages. More useful for pre-booking comparison shopping, but you can revisit a hotel page after booking to see if rates changed. The limitation is that you have to actively visit the page. There's no background monitoring or alerts. ### StayHawk Chrome extension Imports booking details directly from hotel and OTA websites into your StayHawk dashboard. This is an ingestion method (an alternative to email forwarding), not a standalone price tracker. Once imported, StayHawk handles the daily monitoring. ## Which method to use For one or two bookings a year, the calendar reminder method is fine. Set it up in 2 minutes and check manually before your deadline. For frequent travellers with multiple active bookings, a dedicated tool saves real time and catches drops you'd miss with manual checks. The choice comes down to what you care about: - **Price monitoring only:** Pruvo (free) or HotelSlash (paid) both work - **Price monitoring + deadline tracking:** StayHawk is the only option that connects both - **Business travel or agency use:** StayHawk's agency plan handles team workspaces with multiple agents and hundreds of bookings If you book a lot of hotels for work and want to automate price rechecking without breaking policy, the workflow is simple: get alerted to a drop, check the cancellation window, rebook within policy, done. ## Frequently asked questions **Can I automatically recheck hotel prices after booking?** Yes. Dedicated tools like StayHawk, Pruvo, and HotelSlash check hotel prices daily after you forward your confirmation email. Google Hotels can also track prices for a specific hotel and date range, though it doesn't know your booking details. **How does hotel price tracking work?** You forward your booking confirmation email to a tracking service (or import via browser extension). The service parses your hotel, dates, and rate. It then checks prices daily across booking sites and alerts you by email or push notification when the rate drops below what you paid. **Is it worth paying for a hotel price tracker?** If you book more than a few hotels a year, the math usually works. One successful rebook typically covers a full year of any tracking tool. **Can I track hotel prices for business travel?** Yes. StayHawk's agency plan is built for professionals managing multiple bookings. It supports team workspaces where admins see all bookings and agents see their own clients. Automated price alerts mean you don't have to manually recheck each booking. --- *Forward your confirmation email to StayHawk and get alerted to price drops before your cancellation window closes. Here's the math on what that costs you — and when a tool starts making more sense. # What it actually costs to track hotel prices yourself [Hotel prices drop after you book](/blog/why-hotel-prices-drop-after-you-book) more often than most people realize. Studies put the number between 40% and 57% of bookings. The average savings when someone catches a drop and rebooks runs $60 to $120 per stay. That's real money. So why don't more people track their hotel prices after booking? Because the tracking itself has a cost. Not in dollars, but in time and attention. And for most people, that cost is higher than they think. ## The math on manual tracking Say you booked a hotel for a trip three weeks out. You want to check whether the price drops before your cancellation deadline. Here's what that looks like if you do it yourself: 1. Open a booking site. Search for your hotel, your exact dates, your room type. 2. Compare the current rate to what you paid. Factor in whether the new rate is refundable. 3. [Check your cancellation deadline](/blog/how-to-never-miss-hotel-cancellation-deadline). Dig up the confirmation email, find the policy, figure out the actual date. 4. Decide whether the savings justify rebooking. If the drop is $12, probably not. If it's $80, probably yes. 5. Repeat this every few days until the deadline passes or you check in. That's 10 to 15 minutes per check. If you check twice a week for three weeks, that's 60 to 90 minutes spent watching one hotel booking. For a single trip, maybe that's fine. You're engaged in trip planning anyway. ## Why manual hotel price tracking breaks down Most frequent travellers have more than one booking at a time. Business travellers might have three or four upcoming stays. Someone planning a two-week trip with multiple hotels might have five or six. At five active bookings, you're looking at 5 to 7 hours of price checking over the booking window. That's most of a Saturday, spent refreshing hotel search results. And that assumes you actually remember to check. Miss a few days and you might skip right past a price drop that appeared Tuesday and disappeared Thursday. 85% of hotels now use pricing algorithms that adjust rates hundreds of times per day. Rates move fast enough that checking every other day still leaves gaps. You're not just paying in time. You're paying in the drops you never see because you weren't looking on the right day. ## What a missed hotel price drop actually costs Take a common scenario. You booked a four-night stay at $200 per night. Three weeks later, the rate drops to $155 per night. That's $180 in potential savings. If you were checking that day, you'd catch it. Cancel, rebook, pocket $180. But you weren't checking that day. The rate went back up two days later. You never knew. Across a year of travel, the numbers add up. A frequent traveller with 10 to 15 hotel bookings per year, assuming 40% see a price drop and the average saving is $60 per rebook, is leaving $240 to $360 on the table annually. With larger drops ($120 average), that's $480 to $720. Those numbers assume you catch every drop. Manual checking means you catch some. Automated tracking means you catch nearly all of them. ## Hotel price tracking at agency scale For independent travel agents, the math gets worse fast. An agent managing 30 active client bookings needs to track 30 sets of prices and 30 cancellation deadlines simultaneously. At 15 minutes per booking per check, twice a week, that's 15 hours of price monitoring per week. That's not a side task. That's a part-time job. There are roughly 190,000 independent travel advisors in the US. Most of them manage this with spreadsheets and calendar reminders. Their existing tools (Travefy, TravelJoy, TripSuite) handle itineraries and CRM but don't monitor prices or track cancellation deadlines. Run the same math at agency scale: 30 bookings, 40% drop rate, $60 average savings. That's $720 per month in savings the agent could have caught for their clients. Miss those consistently and clients start wondering what they're paying you for. ## When a hotel price tracking tool makes sense The break-even math is simple. If the tool costs less than the savings it catches, it's worth it. Pruvo is free and catches price drops, but only on partner OTA sites and without tracking cancellation deadlines. You'll know the price dropped. You won't necessarily know if you can still act on it. HotelSlash is a paid annual subscription and monitors across 50+ sites. Same gap: no deadline tracking. StayHawk combines both. Forward your confirmation email and it extracts the cancellation deadline, monitors prices daily, and alerts you when a cheaper rate is available while you can still cancel and rebook. The free tier covers 5 bookings with deadline tracking. Price monitoring starts on the Pro plan. For a consumer with 10+ hotel bookings per year, one successful rebook covers the annual cost. For an agency, the portfolio-wide monitoring pays for itself within the first month. ## Automated tracking vs. manual price checks There's also the attention cost. Every 15 minutes spent refreshing hotel search results is 15 minutes not spent on something else. For agents, that's client work or sales calls. For everyone else, it's just life. Manual price tracking works in theory. It falls apart in practice because it requires consistent attention over weeks, across multiple bookings, with no guarantee you'll be looking on the day the price actually drops. Hotels are running pricing algorithms around the clock. Checking manually is a bet that your schedule happens to overlap with the dip. Sometimes it does. More often it doesn't. ## Frequently asked questions **How long does it take to manually track hotel prices?** About 10 to 15 minutes per booking per check. If you check twice a week across three weeks, that's 60 to 90 minutes per booking. With five active bookings, you're looking at 5 to 7 hours total. **Is it worth tracking hotel prices after booking?** If you booked a refundable rate, yes. Between 40% and 57% of bookings see a price drop before check-in, with average savings of $60 to $120 per rebook. One catch pays for itself in time or subscription cost. **What's the cheapest way to monitor hotel prices after booking?** Pruvo is free and monitors prices on partner OTA sites. HotelSlash is a paid annual subscription and covers 50+ sites. Neither tracks cancellation deadlines. StayHawk's free tier tracks deadlines on 5 bookings; price monitoring starts on the Pro plan. **How do travel agents track hotel prices for clients?** Most don't, or they do it manually with spreadsheets. At 30+ active bookings, manual monitoring takes 15+ hours per week. Enterprise reshop tools exist but require GDS integration. StayHawk's agency plan covers 500 bookings with team workspace access. **Can I just set a calendar reminder to check hotel prices?** You can, but you'll only catch drops on the days you check. Hotel pricing algorithms adjust rates hundreds of times per day, so a drop might appear and disappear between your checks. Automated tools check daily and alert you when a drop is found. --- *Track your hotel bookings and catch price drops before your cancellation deadline closes. [Start tracking for free](https://stayhawk.app) — no credit card required.* --- ## Why independent travel agents lose money between booking and check-in *Published Wed Mar 11 2026 00:00:00 GMT+0000 (Coordinated Universal Time) — https://stayhawk.app/blog/why-travel-agents-lose-money-between-booking-and-checkin* Independent travel agents leave thousands on the table between booking and check-in. Here's why post-booking monitoring matters for your agency. # Why independent travel agents lose money between booking and check-in You book a hotel for a client on Monday. By Wednesday, the rate has dropped $85. You never find out. The client checks in at the original price, and neither of you knows the difference. This happens constantly. A RatePunk study of 28,000 hotel bookings found that [57% see a price drop](/blog/why-hotel-prices-drop-after-you-book) between booking and check-in. The average savings when someone catches the drop and rebooks: $60 to $120 per stay. If you're managing 40 or 50 active bookings at a time, the leaked money adds up. ## The post-booking monitoring gap in travel agent tools Most independent agents use tools like Travefy, TravelJoy, or TripSuite to manage their business. These are solid tools for what they do: itinerary presentation, client CRM, commission tracking, invoicing. None of them monitor hotel prices after you book. None of them track cancellation deadlines and send you an alert before the window closes. That means the work of watching prices and remembering deadlines falls on you. Manually. For every active booking across every client. At 50 active bookings, that's a liability dressed up as a workflow. ## How enterprise travel agencies handle hotel price monitoring Large travel management companies solved this problem years ago. Emburse Reshop (formerly TripBAM) has saved corporate travel programs over $500 million by automatically reshopping hotel rates. They find lower rates 35% of the time, with average savings of $120 per stay. HotelHub's Rate Optimiser saves travel management companies more than $1.5 million per month by monitoring prices from booking until the cancellation deadline. These tools work. But they require GDS integration, enterprise contracts, and corporate travel infrastructure. An independent agent managing 50 client bookings doesn't qualify. And couldn't afford the setup even if they did. ## The real cost of missed hotel cancellation deadlines Price drops are one side of the problem. The other is cancellation deadlines. According to Hotel Management, hotel cancellation rates sit around 40%, driven largely by OTAs pushing free cancellation policies. Nearly half of all bookings get changed or cancelled. For agents, a missed cancellation deadline on a client's booking means lost money, a difficult conversation, and a client who wonders why they're paying for your services. [Calendar reminders work for 5 bookings](/blog/how-to-never-miss-hotel-cancellation-deadline). They don't work for 50. Especially when different bookings have different cancellation windows, some refundable, some partially refundable, some non-refundable after a certain date. The agents who keep this straight either spend hours on manual tracking or accept that some deadlines will slip through. ## Hotel price drop savings at agency scale Say you have 50 active bookings. Based on the RatePunk data: - About 28 of those will see a price drop before check-in - Average savings per rebook: $80 (conservative midpoint) - Without active monitoring, most of those drops go unnoticed Even catching a third of them means roughly $750 saved across your portfolio per month. That's money your clients keep. And clients who save money tend to come back. For the cancellation deadlines: one missed deadline on a $400 non-refundable night wipes out weeks of commission. It only takes one. ## What post-booking monitoring actually looks like For every active booking in your portfolio: 1. Track the cancellation deadline and fire an alert before it closes 2. Check the hotel's current rate daily against what the client is paying 3. When a lower refundable rate appears, send an alert with the details 4. Show everything in one dashboard, sorted by what needs attention first The agent decides what to do with each alert. Rebook at the lower rate. Let the client know about a deadline. Or dismiss it and move on. This isn't about automating rebooking. Every service that tried automatic rebooking at consumer scale (DreamCheaper, Tingo, Service App) eventually shut down. The operational complexity and liability were unsustainable. The model that works is alert-and-inform: you get the information, you make the call. ## Which travel agents need post-booking monitoring If you're an independent agent with fewer than 10 active bookings, calendar reminders and manual price checks probably work fine. If you're managing 30, 50, or 100 client bookings, the math changes. You can't manually check rates on 50 hotels every morning. You can't keep 50 different cancellation deadlines straight across 30 different clients. Enterprise travel has had post-booking monitoring for over a decade. Independent agents haven't. That's starting to change. ## Frequently asked questions **Do travel agent CRMs track hotel prices after booking?** No. Travefy, TravelJoy, and TripSuite handle itineraries, CRM, and invoicing, but none of them monitor hotel prices or track cancellation deadlines. That work currently falls on the agent. **How much money do travel agents lose from missed price drops?** An agent managing 50 active bookings, with 40% seeing a price drop and $80 average savings per rebook, leaves roughly $1,600 per month on the table without active monitoring. The exact amount depends on booking volume and hotel markets. **What is hotel reshop and do independent agents have access to it?** Reshop is the practice of monitoring hotel rates after booking and rebooking at a lower price. Enterprise platforms like Emburse Reshop and HotelHub Rate Optimiser offer this for large travel management companies, but they require GDS integration and enterprise contracts. Independent agents don't have access to these tools. **How do travel agents track cancellation deadlines across clients?** Most use spreadsheets or calendar reminders. This works with a handful of bookings but becomes unreliable past 20 or 30 active bookings across multiple clients, especially when each booking has a different cancellation window. **Is automatic hotel rebooking a good idea for travel agents?** Every consumer-scale auto-rebooking service (DreamCheaper, Tingo, Service App) has shut down due to operational complexity and double-booking risk. The model that works is alert-and-inform: the tool catches the price drop, the agent decides whether to rebook. --- *StayHawk is a post-booking portfolio manager that tracks cancellation deadlines and monitors hotel prices for travel agents and individual travellers. [Start tracking your bookings for free](https://app.stayhawk.app).* --- ## How to never miss a hotel cancellation deadline *Published Sun Mar 08 2026 00:00:00 GMT+0000 (Coordinated Universal Time) — https://stayhawk.app/blog/how-to-never-miss-hotel-cancellation-deadline* Most hotel bookings are refundable, but only if you cancel in time. Here are practical ways to track your cancellation deadline so you don't lose the option. # How to never miss a hotel cancellation deadline Between 58% and 73% of hotel bookings come with free cancellation. That sounds generous until you realize the deadline is buried in a confirmation email you read once and archived. Miss it by a day and your refundable booking becomes non-refundable. No warning. No grace period. Just a charge you can't undo. ## Why hotel cancellation deadlines are so easy to miss Most hotels set cancellation deadlines 24 to 72 hours before check-in. Some set them a full week out. The exact cutoff depends on the hotel, the rate, the platform you booked through, and sometimes the season. The deadline isn't hidden. It's right there in your confirmation email. But you booked the hotel three weeks ago and haven't thought about it since. By the time check-in approaches, the date is gone from your memory. About 40% of hotel bookings end up getting cancelled, according to Hotel Management. Some of those are planned. But plenty are people who wanted to cancel or rebook and ran out of time. ## Tracking cancellation deadlines with a spreadsheet The most common workaround is manual tracking. Read the confirmation email, find the cancellation deadline, add it to your calendar or a spreadsheet. This works for one or two hotels a year. It falls apart if you travel frequently. Every new booking means another email to parse, another date to extract, another calendar entry. Skip one and you're exposed. If you go this route, set your calendar reminder at least 48 hours before the actual deadline. You need time to compare prices and decide, not just get a ping on the day. ## Use your email as a search tool Simpler version: don't track anything proactively. Set a recurring weekly reminder that says "check hotel deadlines." When it fires, search your inbox for recent hotel confirmations and scan the cancellation dates. Less reliable, but zero setup. Fine for people who book a few hotels per year and don't want a system. The risk is obvious. If your reminder falls on a Wednesday but your deadline was Tuesday, you're out of luck. ## Cancellation deadline tracking plus hotel price monitoring Knowing your cancellation deadline is useful on its own. It becomes a lot more useful when you pair it with price monitoring. [Hotel prices move constantly](/blog/why-hotel-prices-drop-after-you-book). A RatePunk study of 28,000 bookings found that 57% saw a price drop between booking and check-in. Pruvo claims 40% with an average savings of $60. Either way, post-booking price drops are common. But a price drop only matters if you can still cancel your original booking. If the cancellation window closed yesterday, a cheaper rate is just bad news. The setup worth having tracks both: the current price of your hotel and the date by which you need to act. When a cheaper rate appears, you know immediately whether you can do something about it. ## How travel agents track cancellation deadlines at scale Independent travel agents deal with this at scale. An agent managing 30 or 40 active client bookings can't afford to miss a single cancellation deadline. One missed deadline means a client stuck with a rate they could have improved. That's a trust problem. Most agency tools (Travefy, TravelJoy, TripSuite) handle itineraries and CRM but don't track cancellation dates or monitor prices. Agents end up building their own spreadsheet systems. These work until someone forgets to update a row. There are roughly 190,000 independent travel advisors in the US, and most of them are [managing this with manual processes](/blog/why-travel-agents-lose-money-between-booking-and-checkin). ## Hotel cancellation tracking tools compared A few options exist for automating parts of this. **TripIt Pro** stores your cancellation policy text from confirmation emails. It doesn't parse the actual deadline date or send you a countdown alert. You still have to read the policy and remember when to act. **Pruvo** and **HotelSlash** monitor hotel prices after you book. Both are good at catching price drops. Neither tracks cancellation deadlines. You'll know the price dropped but not whether you can still cancel. **StayHawk** tracks both. Forward your confirmation email and it extracts the cancellation deadline and monitors the price. You get alerts before the deadline closes and when a cheaper rate appears. The free tier covers 5 bookings with deadline tracking. Price monitoring requires a paid plan. If you only care about price drops, Pruvo or HotelSlash work well. If you want deadline tracking too, StayHawk is currently the only tool that does both. ## A simple system that works Whatever tool you use, the minimum setup is: 1. Capture the deadline the moment you book. Don't tell yourself you'll do it later. 2. Set a reminder 48 hours before the deadline. Not the day of. You need time to check prices and decide. 3. Check the current rate before your deadline. If it's lower, cancel and rebook. If it's the same or higher, keep your booking. 4. After the deadline passes, stop thinking about it. You made the best decision you could with what you had. Free cancellation is only valuable if you remember to use it. ## Frequently asked questions **When is the cancellation deadline on a hotel booking?** Most hotels set the deadline 24 to 72 hours before check-in, but some set it a full week out. The exact cutoff depends on the hotel, the rate type, and the platform you booked through. Check your confirmation email for the specific date and time. **What happens if I miss my hotel cancellation deadline?** Your refundable booking becomes non-refundable. You'll be charged the full amount even if you don't stay. There's no grace period, and most hotels won't make exceptions. **How do I find my hotel cancellation deadline?** It's in your booking confirmation email, usually under the cancellation policy section. Look for a specific date and time, not just "free cancellation." Some platforms also show it in your account dashboard. **Can I cancel a non-refundable hotel booking?** Generally no. Non-refundable rates are final. Some hotels will make exceptions for emergencies, but they're not required to. If flexibility matters, always book a refundable rate. **Is there a tool that tracks hotel cancellation deadlines?** Most booking tools don't track deadlines. TripIt Pro stores the cancellation policy text but doesn't parse the date or send countdown alerts. StayHawk extracts the deadline from your confirmation email and sends alerts before the window closes. --- *Track your next hotel booking's cancellation deadline for free at StayHawk.* --- ## Why hotel prices drop after you book (and what to do about it) *Published Wed Mar 04 2026 00:00:00 GMT+0000 (Coordinated Universal Time) — https://stayhawk.app/blog/why-hotel-prices-drop-after-you-book* 40-57% of hotel bookings see a price drop before check-in. Here's why it happens and what to do when it does. # Why hotel prices drop after you book (and what to do about it) You found a hotel, compared a few rates, and booked. Done. You close the tab and move on with your life. But between the moment you book and the day you check in, there's a good chance the price on your room will drop. A RatePunk study of 28,000 bookings found that 57 percent saw a lower rate appear before check-in. Pruvo, another price tracking service, puts the number at 40 percent. Most people never find out. ## How hotel dynamic pricing works Hotel pricing is not fixed. It's not even close to fixed. Hotels adjust room rates based on occupancy, demand forecasts, competitor pricing, day of the week, events in the area, and how far out the check-in date is. The industry calls this dynamic pricing, and it has been standard practice for years. What has changed recently is scale. Hotels now use pricing algorithms that make hundreds of adjustments per day. 85 percent of hotels plan to increase their investment in these systems. Rate volatility can hit 42 percent during peak periods, meaning a room could cost significantly less tomorrow and spike again the day after. This isn't hotels trying to trick you. It's supply and demand, automated and running 24/7. When occupancy projections change, prices move immediately. A block of rooms gets released from a cancelled group booking? Prices drop. A conference gets announced nearby? Prices spike. The algorithm doesn't care that you already booked at the higher rate. ## Why most people miss the hotel price drop Once you book, the booking is done. You move on to planning the trip itself. Nobody sits there checking hotel prices every day for weeks. That would be absurd. Then there's the [cancellation deadline](/blog/how-to-never-miss-hotel-cancellation-deadline) problem. 73 percent of hotel bookings are refundable, so in theory you could cancel and rebook at a lower price. But when does that window actually close? The deadline is buried somewhere in a confirmation email you read once. A price drop is useless if the window already closed and you didn't notice. And even if you suspect prices might change, the effort of checking daily and managing the cancel-and-rebook process feels like more hassle than it's worth. So you don't bother. A Navan survey found 71 percent of travellers feel anxious about whether they got the best price on their hotel. Based on the data, they're right to worry. ## How to cancel and rebook a hotel at a lower price If you booked a refundable rate and the price drops before your cancellation deadline, the process is straightforward: 1. Book the same room at the new, lower price on whatever site has it 2. Confirm the new booking is locked in 3. Cancel the original booking within the cancellation window 4. Pocket the difference Order matters here. Always confirm the new booking before cancelling the old one. You don't want to end up with no room at all. The catch is timing. You need to know three things: the current price, your original price, and when your cancellation window closes. Miss any one of those and the opportunity slips away. ## How often hotel prices drop after booking The data is consistent across multiple tracking services. Pruvo and HotelSlash both report that when users catch a drop and rebook, the savings are meaningful — often enough to cover a nice dinner or a day trip. The exact amount depends on how far in advance you book, the hotel's market, and the season. But the pattern holds: the price you paid is often not the lowest price that will appear before your trip. ## Hotel price tracking tools compared A handful of services monitor hotel prices after you book. They all work roughly the same way: you forward your confirmation email, they parse the booking details, and they check prices periodically until your check-in date. Pruvo is free and sends price drop alerts with links to rebook through their affiliate partners. It works, but it only covers partner sites and doesn't track cancellation deadlines. HotelSlash charges a yearly fee and monitors across 50+ booking sites. Same gap: no deadline tracking. RatePunk takes a different approach with a browser extension that shows rate comparisons when you visit booking pages. More useful before you book than after. None of these track when your cancellation window closes. So you can get a price drop alert on Tuesday and not realize your deadline passed on Monday. ## What you can do about it The simplest approach is manual. When you book a hotel, add two things to your calendar: the cancellation deadline and a reminder to check the price a few days before that deadline. If the price has dropped, rebook. If not, move on. The problem is obvious: this [doesn't scale past one or two bookings](/blog/cost-of-manual-hotel-price-tracking). And you're only checking once, not catching the best moment. For something more automated, tools like Pruvo and HotelSlash handle the price monitoring part. If deadline tracking matters to you (and it should, because a price drop you can't act on is worthless), StayHawk combines both. It parses your confirmation email for the cancellation deadline, monitors prices daily, and only alerts you when a cheaper rate appears while you can still cancel and rebook. Whatever approach you pick, the takeaway is the same: hotel prices drop after you book more often than you'd expect, and the savings from a rebook add up fast. The travellers who come out ahead are the ones who keep watching. ## Frequently asked questions **How often do hotel prices drop after booking?** Between 40% and 57% of hotel bookings see a lower rate appear before check-in, based on data from Pruvo and RatePunk. The exact frequency depends on the hotel's market, how far out you booked, and the season. **How much can you save by rebooking a hotel at a lower price?** The average savings per rebook runs $60 to $120, depending on the hotel and length of stay. Savings tend to be larger on longer stays and during periods of high rate volatility. **Can I cancel my hotel booking and rebook at a lower price?** Yes, if you booked a refundable rate and the cancellation deadline hasn't passed. Book the new rate first, confirm it, then cancel the original. Always secure the new booking before cancelling the old one. **Why do hotels change prices after I book?** Hotels use dynamic pricing algorithms that adjust rates based on occupancy, demand forecasts, competitor pricing, local events, and how close the check-in date is. These systems make hundreds of adjustments per day. **Do I need a tool to track hotel price drops?** Not strictly. You can manually check prices on booking sites and set calendar reminders for your cancellation deadline. But manual tracking takes 10 to 15 minutes per check per booking and you'll miss drops that appear between checks. --- *Track your bookings and catch price drops before your cancellation deadline closes.
