Agency workspaces
Everything you need to manage client bookings as a team — workspaces, roles, client labels, and the client portal.
Workspaces
An agency workspace is a separate workspace for managing client bookings. When you subscribe to the Agency plan, StayHawk creates an agency workspace alongside your personal one. Bookings, team members, limits, and billing all live on the agency workspace — your personal bookings stay private.
Use the workspace picker in the top nav. The one you pick controls which bookings, team settings, and billing page you see. StayHawk remembers your last choice.
Each Agency subscription creates one agency workspace. If you need multiple, take out multiple subscriptions, or reach out at support@stayhawk.app to talk about Enterprise.
Your team
The Agency plan includes 5 seats in total (you as admin plus up to 4 agents). Enterprise includes 25. Pending invitations count toward your seat limit.
- Go to Settings > Team on your agency workspace.
- Enter the person’s email and pick their role.
- They’ll get an email with a link to accept. Links expire after 7 days.
If the link expires, revoke the invite and send a new one.
- Admin — manages the team, changes settings, sees every booking, and handles billing.
- Agent — creates and edits their own bookings and sees the bookings assigned to them. Can’t manage the team or change settings.
You’ve hit the seat limit for your plan. Pending invitations count toward the limit, so revoke any unused ones first. If you still need more seats, upgrade to Enterprise.
What agents can see
It depends on the agent visibility setting, which an admin controls in Settings:
- Own only (default) — agents see just the bookings they created.
- Team read — agents can read every booking in the agency.
No. Write access is always own-only, even when team-read visibility is on. If an agent needs to take over a booking, an admin can reassign it.
Clients and the client portal
Open any booking and pick a client from the client field, or create a new one. Clients are shared across the agency — every agent sees the same list.
A read-only share link that shows your client the bookings tagged to them. They don’t need a StayHawk account. Useful for keeping clients in the loop without giving them editing access.
Open the client, click Generate portal link, and copy the URL. Send it to your client over email or chat. You can revoke or regenerate the link at any time.
- Link expired. Regenerate it from the client page.
- Link revoked. Restore it, or generate a new one.
- No bookings yet. The portal only shows active bookings tagged to that client. Tag at least one booking first.
Forwarding emails for agency bookings
Yes. Your agency workspace has its own @inbox.stayhawk.app address, separate from your personal one. Forward client booking confirmations there so they land in the agency workspace.
StayHawk attributes the booking to the agent whose forwarded email triggered the ingestion. If the email comes from an address linked to the admin, it lands under the admin. You can reassign it to another agent from the booking detail page.
Billing and limits
- Agency — 500 bookings, 5 team seats.
- Enterprise — 2000 bookings, 25 team seats.
Switch to your agency workspace, then go to Settings > Billing and cancel. You keep access until the end of the current billing period.
Cancel the subscription first, then delete the workspace from Settings. You can’t delete a workspace while a subscription is still active.
